Facilities Office Support Job ID 258847 Posted 30-Jan-2026 Service line GWS Segment Role type Full-time Areas of Interest Administrative Location(s) Athens - Attiki - Greece **Role Summary** Facilities Office Support will be positioned at the reception desk from Monday to Friday from 10:00 to 18:00. Facilities Office Support is responsible for the development and maintenance of relationships with associates and other stakeholders to ensure a high level of customer service. Is responsible for providing support and assistance to the facilities team, support the operation with administration requests, reporting to Workplace Experience Regional Facilities Coordinator. **Responsibilities** **Reception** + Provide welcome service to all visitors, issue badges, provide guests a visitor badge, ensure to return it before exiting the offices, maintain the visitor’s logbook, informing associates of their arrival or directing the visitors to the relevant meeting room. + Facilitate and respond to Facilities support related queries and requests from associates, contractors, and visitors. + Follow up on Facilities support requests, ensuring timely resolution and provide feedback accordingly. + Monitor and manage facility access and safety protocols, including security systems and protocols. + Support Workplace Experience Administrator in reception tasks. **Mail Management** + Receive and sign for mail and other deliveries, inform addressees and ensure timely deliveries. + Handle internal mails -receive and deliver couriers internally for clients upon their visit on site. + Contact with clients to inform about a courier has arrived on site to pick it up upon their earliest availability. + Prepare packaging of parcels in carton boxes with special courier equipment for samples of soft drinks shipping to other countries – requests from local client. **Switchboard** + Operate switchboard, handle general telephone enquiries, and pass on messages to appropriate associate according to internal policy. **Inventory Management** + Ensure that stock levels are maintained for office consumables, supermarket, stationery, and beverage consumables. + Order stock where required to maintain levels and ensure that adequate stock is available for the needs of the operation. + Receive and Stock the consumables, stationery, and beverage consumables. + Implement and maintain a stock issuance sheet to monitor trends and ensure that levels are adjusted based on needs where appropriate. + Re fill the coolers (fridges) with soft drinks and water. **Set up rooms.** + Take care of arrangements in meeting rooms (moves and changes: furniture rearrangement, big & bulky desks, tables, chairs , classroom chairs set up, flipcharts). Athens’s site is a HUB, so we host senior clients and other visitors three times a month (events, caterings, set up rooms according to organizer’s / client’s request) **Administration** + Support associates with the facilitation of taxis where requested. + Support Vehicle Maintenance, Repairs by scheduling and bookings if required- communication with Leasing Company. No external visits to car repair shops + Support in-house events and special celebration days. Especially in festive periods, approximately 150 bags with gifts need to be distributed to associates and in some cases twice within few days before their leaves. + Receive, redirect and follow up on payment of Utility Bills under Client’s POs. + Buy/ supply/stock medicines for the First Aid boxes on the premise. **PTO/Back up** + Workplace Experience Regional Facilities Coordinator must be informed for the days of leave or sickness to arrange a backup on site. **Requirements** + Previous experience in a similar job. + Proficient in English and local language is a must. + Driver licence.
