Job Description Summary

The Facilities Manager is responsible for providing oversight of the Facilities function within the site operations division. The Facilities Manager will work closely with the Cushman & Wakefield Site Operations Leads at each site and the other Facilities Managers in region and globally to ensure they are providing a safe environment for employees, contractors and visitors, are meeting our contractual obligations and day to day deliverables and applying a consistent and methodical approach to their processes. This role will work closely with the Global Asset & Facilities Management CoE Lead to maintain, review and evolve the processes and playbooks and to deliver the Asset Lifecycle Management Plan and all capital projects.

Job Description

Key Responsibilities:

Facilities Management & Risk Compliance

Act as an escalation point to support the Facilities Team members under the role remit and within region.

Respond to reactive maintenance and service escalations from the Operations Hub for technical or practical insight / advice / guidance.

Lead direct reports and drive vendor and contractors to perform in a safe and compliant manner, ensuring all minimum standards and compliance requirements are adhered to.

Ensure all contractors on site are fully inducted with all risk assessments and BHP, Cushman & Wakefield and Building Management compliance requirements in place prior to commencement of work onsite.

Lead direct reports in the management of site facilities operations to ensure the continuity of property services with minimum disruption to the clients’ business operation.

Ensure appropriate processes and playbooks are in place, regularly reviewed and all team members are trained.

Financial Management

In conjunction with the Regional Operations Leads and Site Operations Lead, develop the budget and manage cost to budget forecast to deliver financial performance and glide path savings targets.

Manage the Facilities supply chain to budget and performance.

Provide advice regarding cost and benchmarking, of FM assets and services.

Client Relationship & Service Delivery

Ensure stakeholders are fully informed and consulted with a customer first mindset.

Responsible for providing subject matter advice and expertise to the external stakeholders.

Ensures that a world class customer service experience is delivered regardless of interaction type e.g., Face to face or virtual/remote resource depending on client requirement.

Engineering and Asset Management

Ensure the implementation of scheduled routine tasks and preventative maintenance activities.

Support the Asset Lifecycle plan annually or as required.

Provide input into the Asset & Lifecycle Management plan regarding scheduled routine tasks and preventative maintenance activities to ensure equipment and routine services are delivered in line with compliance obligations and client site requirements.

Supply Chain & Vendor Management

Approves increases to purchase orders after appropriate review and assessment of requests in line with budget and DOA.

Ensures compliance with all statutory and regulatory requirements, including prestart risk assessments.

Manages the service delivery of local and regional vendors; is directly responsible for the performance of all vendors and suppliers’ performance in sites under their remit.

Provide feedback via appropriate channels / mechanisms on vendor performance and value for money.

Supports the procurement activity to deliver efficient and cost-effective service partners.

Day to day operational management and coordination of vendor partner base to deliver maintenance works within site / client guidelines including the scheduling of site works for critical / remote sites.

Ensures all direct reports and vendors are following record management protocols.

Environmental Sustainability

Provides input and seeks support from the sustainability team when reviewing environmental usage reporting to identify potential cost savings or provide feedback on anomalies.

Provides input and seeks support from the sustainability team to drive opportunities to implement sustainable practices and build case studies.

Requirements

Strong experience in Facilities Management operations in corporate office environments where the client is an occupier.

Bachelor’s degree (preferred)

2–5 years of relevant experience in commercial or industrial real estate, with hands-on facility management

Proven background in maintenance, engineering, construction, and property operations

Experience with CMMS/Work Order Management systems (preferred)

Additional Qualifications

Ability to interpret construction specifications and blueprints.

Strong understanding of contract language and building documentation

Skilled in Building Management Systems monitoring and maintenance

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)

Solid financial management discipline, including budgeting, tracking, and forecasting

Familiarity with financial systems such as Yardi (a plus)
