Facilities Coordinator

What this job involves:

Provide general overall FM services including continuous monitoring of facility. Work with property managers to handle routine property management operations, including procurement of property supplies and services, escorting vendors, perform vehicle and equipment logistics, assisting with other general duties as requested.

What your day-to-day will look like:

Assist Facility Management Team with tactical planning and provide facility-specific support to project management teamsManage facility management tasks with emphasis on GMP (Good Manufacturing Practices) compliance monitoringCoordinate maintenance activities within GMP-controlled environments and provide continuous monitoring of facility for environmental conditions, cleanliness standards, and regulatory complianceManage vendor relationships for soft services including pest control, cleaning, landscaping, waste management, and catering services, ensuring compliance with GMP standards and documentation requirementsCoordinate with property managers on routine operations, procurement of supplies and services, and escort vendors while ensuring adherence to safety protocolsPerform vehicle and equipment logistics coordination and act as interface with clients, visitors and guestsMonitor and maintain CMMS (Computerized Maintenance Management System) data entry and work order managementProvide direction to vendors, facilities staff and service providers to ensure excellent coordination with minimal disruption

Required Qualifications:

2+ years of experience with Facility or Property Administration, preferably in GMP or regulated environmentsExperience with vendor management, particularly in soft services such as pest control, cleaning, and landscapingKnowledge of GMP principles and regulatory compliance requirementsMust be proficient at Excel Spreadsheets and have capability of customizing administrative reportsExperience with CMMS platforms and maintenance management systems

Preferred Qualifications:

Ability to plan and manage work under time constraintsAbility to multitask and work without direct supervisionProficient in MS Office, and possess strong written, verbal and people skillsStrong organizational skills and collaborative styleUnderstanding of property management operations and vendor procurement processes
