Facilities Coordinator Job ID 251462 Posted 10-Dec-2025 Service line GWS Segment Role type Full-time Areas of Interest Facilities Management Location(s) Reading - England - United Kingdom of Great Britain and Northern Ireland **Responsibilities** • Primary focus on delivery of all FM Operations SLA’s in accordance with KPI & Output measurements • Co-ordinate with FM Operations and Critical Service teams to deliver service level agreements • Support/Monitor 3rd party maintenance supplier activities when required and report any corrective works arising • Comply with HSE requirements as outlined within the SLA and as instructed by the company policy • Act as a part of site Emergency team i.e. Fire Marshall, as required for emergency control activities • Responsible for the image and visual standards of the site/s taking ownership of any issues or concerns • Transfer or direct calls to the party the caller requests or determine where the caller should be directed, based on information about the purpose of the call • Maintain product protection and confidentiality as necessary when calls are taken, and notes made; due to the nature of the role and information shared no advice may be given to caller • Understand and follow the site emergency and local procedures – In the event of an emergency incident at a client’s location in the UK, Switchboard Administrators are likely to receive calls from media organisations and / or concerned relatives; the role must therefore be able to direct media enquiries to the appropriate source, as well as collating details from concerned persons and liaising with site / country emergency and crisis management teams • Responsible for alerting the company's security or leadership staff about questionable calls or visitors who may pose a threat to the organisation • Helpdesk coverage including but not limited to; logging, distributing and closing of planned maintenance and reactive calls on desired system • Deputise in absence of Mail Room Supervisor • Carry out Mail Room activities including receipt, sorting and distributing incoming and outgoing post to and from mail collection points, ensuring areas are tidy and that uncollected post is distributed to correct destination / person • Check that printers and photocopiers are supplied with paper. Maintain paper stock levels and replenish supplies as necessary • Maintain stationery stock levels and replenish supplies as necessary • Take ownership and understand customer requirements and be able to demonstrate the ability to close out concerns and ensure customer is kept appraised at all times • Handle all direct customer email and telephone enquiries to the Mail Room • Record incoming courier / parcel / recorded and registered mail, retaining accurate records to facilitate tracking and to enable cross charging if required • Perform investigations into lost post / sort and process unidentified mail • Oversee the maintenance of the Mail Room equipment e.g. Franking Machines etc • Ensure accurate and up to date documentation of Mail Room procedures • Undertake and maintain manual handling training and knowledge • Knowledge of emergency procedures associated with mail rooms, including suspect package procedures • Carry out Goods Inwards & Porterage activities • Provide flexible support to the General Services areas i.e. Goods Inwards / Reprographics / Records Retention • In addition to the above-mentioned tasks, other activities and responsibilities may be individually defined CBRE, Inc. is an Equal Opportunity and Affirmative Action Employer (Women/Minorities/Persons with Disabilities/US Veterans)
