**Key Responsibilities:**
+ **Client Relations:** Address client inquiries and concerns promptly, ensuring timely and effective issue resolution and service delivery.
+ **Communication:** Maintain ongoing communication with contractors, clients, and team members.
+ **Complex Work Orders:** Manage complex work orders, including environmental issues and disaster recovery.
+ **Contractor Coordination:** Coordinate with outside contractors for the maintenance and repair of grounds and equipment.
+ **Customer Satisfaction:** Follow up with clients to ensure their satisfaction with our services.
+ **Documentation:** Create and maintain appropriate written communication between all parties.
+ **Facility Oversight:** Monitor and optimize office and facility operations to ensure everything runs efficiently.
+ **Inventory Management:** Maintain and monitor inventories to ensure adequate supplies are available for facility operations.
+ **Operational Knowledge:** Stay informed about all aspects of building systems and operations.
+ **Owner Approvals:** Seek and obtain necessary approvals from owners for various projects and expenditures.
+ **Performance Metrics:** Measure and report key performance indicators against service level agreements.
+ **Performance Monitoring:** Monitor and assess vendor performance.
+ **Problem Solving:** Respond to facility inquiries and complaints, assess issues, and implement corrective actions.
+ **Project Updates:** Communicate frequently with clients, landlords, and vendors to resolve issues and provide project status updates.
+ **Purchase Orders:** Create and manage purchase orders, ensuring timely procurement of necessary materials and services.
+ **Reporting:** Report on open and closed work orders, and check the status of open work orders with the assigned parties.
+ **Safety Protocols:** Adhere to building-specific maintenance and safety procedures.
+ **Service Management:** Oversee the service and performance of vendors to ensure timely job completion.
+ **Site Inspections:** Assist with site inspections within the assigned building portfolio.
+ **Team Collaboration:** Work closely with all aspects of our dynamic onsite facilities operations, including but not limited to workplace experience, engineering, grounds, foodservice, and housekeeping teams. Partner with team members, sharing knowledge and expertise to achieve common goals and deliver exceptional results.
+ **Training:** Train vendors on work order and billing procedures.
+ **Training and Direction:** Provide process and procedures training and direction to new associates.
+ **Vendor Management:** Request, review, and submit work orders, bids, and proposals from vendors. Verify final invoice pricing and process payments promptly.
+ **Work Order Management:** Create, assign, and track work orders for engineering staff, subcontractors, and vendors.

IMPORTANT EDUCATION
• High school diploma or a General Equivalency Diploma (GED) required
• Associates or Bachelors degree in facilities management, building, business or other related field preferred
IMPORTANT EXPERIENCE
• A minimum of 1 year of work experience in an administrative, accounting or tenant services capacity
• Experience with data entry, expansive reporting, filing, answering phones, scheduling and communications
• Previous customer service experience
• Prior experience working in the facilities/property management, commercial real estate or professional services industries preferred
ADDITIONAL ELIGIBILITY QUALIFICATIONS
• Working knowledge of lease terms, the reconciliation process for Common Area Maintenance, insurance, and real estate taxes
• Proficient in understanding management agreements and contract language
• Working knowledge of computer software programs and base building systems
• Computer proficiency with Microsoft Office Suite (MS Word, Excel and PowerPoint)
• Demonstrated ability to exercise good judgment
• Excellent interpersonal skills
• Ability to work a flexible schedule as needed, including but not limited to overnight travel, on call after hours and weekends
WORK ENVIRONMENT
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
