We are seeking a dedicated Facilities Coordinator for a short-term commitment lasting a few weeks. The role involves assisting with auditing an observational study and conducting assessments at the end of each day. The position requires full commitment during this period.
ResponsibilitiesConduct systematic floor-by-floor occupancy counts at designated times throughout each day.Document actual versus assigned seating arrangements using standardized audit tools.Track utilization patterns across different time periods, including peak, off-peak, and lunch hours.Identify vacant workstations, hoteling spaces, and underutilized areas.Record space usage anomalies and exceptions.Maintain accurate real-time data collection logs using provided templates.Input findings into occupancy tracking systems and databases.Create daily summary reports highlighting key observations.Prepare comprehensive final audit report with recommendations.Collaborate with facility management and local site contacts.Participate in daily check-ins with the Operations Program Manager and onsite manager.
Essential Skills1-2 years experience in operations or facilities management is preferred.Experience with data collection.Proficiency in Microsoft Excel for data entry.Ability to stand for long periods and possess great visual acuity.
Additional Skills & QualificationsReceptionist, data entry, customer service experience.Previous experience with occupancy studies or space planning projects.Background in commercial real estate or facilities management.Familiarity with workplace analytics tools.Basic understanding of office space utilization concepts.Strong written and verbal communication skills.Proven ability to maintain accuracy in repetitive tasks.Self-directed work style with minimal supervision required.Discretion and confidentiality when working in client environments.Professional appearance and demeanor.Flexible schedule availability during standard business hours.Reliable transportation to the client site.
Work Environment
This role is onsite, requiring attendance five days a week, Monday through Friday, from 9 AM to 5 PM Pacific Time. The work is conducted in a multi-floor building, and the dress code is business professional, leaning more towards professional attire. Comprehensive orientation and training on audit methodology will be provided, along with all necessary equipment such as tablets, measuring tools, and clipboards. Detailed site maps and access credentials will be supplied, with daily support and guidance from an experienced program management team.

Pay and Benefits
The pay range for this position is $20.00 - $25.00/hr.
