**Key Accountabilities:**
● Providing full reception service in a polite and professional manner - welcoming and assisting all guests of the office
● Managing the reception, taking care of everyday duties related to dynamic and diverse office environment
● Providing professional maintenance of conference rooms
● Coordination and distribution of correspondence
● Organization and archiving of documentation
● Cooperation and contact with internal and external service providers (technical service, cleaning service, building manager, etc.)
● Taking care of office equipment and consumables (such as office supplies), supplementing the resources and inventory
● Reporting of all problems and faults in a timely manner
● Preservation of required security standards. Ensuring that all guests are in the office only in accordance with the rules and subcontractors have no access to restricted areas without proper authorization or supervision
● Regular office inspections to ensure the high quality of all aspects of the provision of administrative/ office maintenance services
● Regularly check the cleanliness of the office, reporting all issues to the Office Coordinator
● Compliance with Health and Safety requirements and environmental protection specified in the instructions or provided during training
● Compliance with emergency procedures and office operating procedures
**Requirements:**
● Fluent Polish and English in speaking and writing
● Preferably to start ASAP
● Independence in action and decision-making, but also a team player who cooperates well as part of a team
● Experience in working in the administration/ property management industry, ensuring the reception guests the highest standard of service (minimum one year of experience)
● Excellent quality of verbal and e-mail communication skills
● Ability to plan, organize and prioritize the work
● Punctuality, meticulousness, reliability and regularity
● Ability to deal with stressful and ad hoc situations
● Proactivity and good attention to details
