Facilities Assistant
**Job Title: Facilities Supervisor** **Job Description** We are seeking a highly organized and self-motivated Facilities Supervisor who thrives in a dynamic environment. The ideal candidate will have a strong work ethic, excellent communication skills, and the ability to prioritize and manage multiple tasks effectively. You will be responsible for overseeing all roles within the Facilities Department and ensuring the smooth operation of properties and equipment. **Responsibilities** + Provide administrative support in research, report preparation, budget analysis, and staff communications. + Ensure each property's signage, presentation, and communication aligns with brand specifications. + Collaborate with the Facilities leadership team on special projects as needed. + Represent the Facilities Department in company meetings such as the Safety Committee. + Manage the issuance and ordering of uniforms, supplies, and equipment within budget constraints. + Coordinate and contract services in consultation with the Facilities leadership team. + Reconcile spending, budget, and invoices. + Update training documents and manage certifications for all associates, ensuring compliance with OSHA/WISHA safety practices. + Maintain departmental calendars, including vacation and service schedules. + Assist Property Management and Facilities Managers in scheduling and reviewing contracted services. + Monitor partner vendor performance and ensure accurate invoicing. + Oversee timecards, labor allocations, and payroll approval. + Foster positive relations across a diverse community of colleagues, residents, guests, and tenants. **Essential Skills** + Proficiency in the English language for effective communication. + Strong organizational and computer skills, including Microsoft Office Suite, Adobe, and internet navigation. + Ability to learn and utilize company software platforms such as Building Engines, ADP, and MRI. + Sound mathematical and accounting skills for staffing, purchasing, and budgetary decisions. + Experience in organizing work, coordinating projects, and meeting deadlines with minimal supervision. + Emotional intelligence in interpersonal interactions, demonstrating sensitivity, tact, and professionalism. **Additional Skills & Qualifications** + Security skills are a plus. + Ability to perform basic research and prepare reports and recommendations. **Why Work Here?** Enjoy a supportive work environment with employer-paid medical insurance, paid vacation and sick time, paid holidays, and an annual bonus.
