EXT - Marketing Support Administrator

**The Position**
The role is responsible for delivering comprehensive administrative, and project management support to the marketing team. This role facilitates the effective management of documentation, ensures compliance in coordinating internal processes, and oversees the seamless execution of daily marketing activities.
**Duties & Responsibilities:**
+ Administrative Support:
+ Prepare, process, and maintain marketing-related documents (purchase orders, invoices, contracts, and vendor forms.
+ Ensure proper filing and documentation in line with company policies and audit requirements.
+ Prepare and send correspondence, reports and presentations
+ Assist in budget tracking and expense reconciliation
+ Coordination & Scheduling
+ Order and manage office supplies
+ Assist with onboarding of new marketing team members with documentation and access setup.
+ Provide general administrative support to CRM marketing team
+ Organize team meetings, appointments, and marketing reviews.
+ Coordinate logistics for marketing events, workshops, and campaigns.
+ Manage marketing events calendar and share events details with relevant stakeholders.
+ Liaise with internal departments and external vendors for approvals and follow-ups.
+ System & Data Management
+ Manage meeting minutes, shared folders, and document archiving.
+ Coordinate logistics for meetings, travel, promotional materials, and courier arrangements.
+ Committee Member for Boehringer Ingelheim’s Internal Events.
+ Maintain marketing databases, shared folders, and asset libraries.
+ Support CRM or campaign tracking systems with data entry and updates.
+ Responsible for preparing marketing related agreements (e.g. sponsorship agreements)
+ Create sponsorship & acknowledgement letter to HCP delegates
+ Record and monitor attendance in the system for internal marketing events.
+ Processing HCP RFs for speaker payments, onboarding vendors
+ Ensure timely and compliant processing of invoice payments
+ Generate basic reports and summaries for internal use.
+ Responsible for Iron Mountain archive and materials in the marketing room. Manage inventory of marketing materials and supplies.
+ Handle PRPO creation, monitoring, and processing for Marketing-related purchases.
+ Administrative support to CRM TA Head and marketing team
+ Coordination and management of internal meetings
+ Travel logistics support for CRM Marketing Managers
+ Expense/Concur submission for CRM TA Head
+ Travel logistics and travel request submission for CRM TA Head
**Requirements:**
+ Strong organizational and multitasking abilities
+ Proficiency in MS Office Suite
+ Strong written and verbal communication skills
+ Attention to detail and able to discern confidentiality a must
+ Prior experience in clerical / secretarial work advantageous
+ Agility to take on supporting tasks beyond scope in times of need
