Expert Specialist - (SEC) Clinical Development

Purpose: 

The Event Study Event Coordinator provides administrative support to the Study Event Snr Manager/Manager and Clinical Development Organization (CDO) leadership to help enable on-time and on-budget delivery of key tasks during clinical trial virtual/live event meetings.  The Expert supports all administrative matters related to planning for meetings, including live or virtual training & engagement meetings, end of trial results, DMCs/ACs and Congress meetings. 

 

The Study Event Coordinator (SEC) ensures implementation of the strategy and plan for all meetings as outlined by the trial engagement (Clinical Development) and training strategy. The SEC acts as the central point for all meeting logistics and support, driving on time delivery including POC for questions and decisions made by the study team related to the meeting logistics, vendors, travel details, exceptions, and affiliate requirements. This role may collaborate with the internal study team personnel responsible for providing the content of the meeting(s).

Live/Virtual Meeting Planning  

Under the leadership of the Snr Manger/ Manager, provide administrative support for trial engagement planning and other trial meetings. 

Responsible for registering meetings  

Assist with pulling and providing the invitation list to the MPC vendor 

Gather unique IDs required for live meetings 

Identify all relevant personnel assigned to the various aspects of the meetings  

Supporting planning process and provide the invitation list  

Support with coordinating virtual meeting  

Assist Snr Manager/Manager with agendas, content meetings, including budgets & timelines and attendees 

Obtain appropriate permissions for meeting recording 

Ensure all live meeting content (presentations, table top exercises, etc...) is provided to the A/V vendor ahead of meeting  

Provide oversight to the room setup & seating arrangements for live meetings to ensure optimal experiences for the attendees  

 

Post-Meeting  

Reconcile any manual Training Acknowledgement or Certificate of Attendance forms with the online training system  

Assist Snr Manager/Manager to gather metrics & feedback report  

Reconcile post meeting attendance forms within the appropriate repository  

Obtain any outstanding unique IDs,  

Provide recording location and typed questions/answers from the meeting for study team to review 

Upload all required document to eTMF or share point site 

 

Minimum Qualification Requirements:   

Two-year degree or 2 years administrative or technical experience 

Qualified candidates must be legally authorized to be employed in Ireland. Lilly does not anticipate providing sponsorship for employment visa status for this employment position.  

Computer proficiency and experience using a variety of software packages (e.g., Microsoft Word, Excel, Power Point, Project) 

Highly Desired Skills:  

Strong communication skills; able to communicate clearly and succinctly with team members and leadership 

Demonstrated ability to work effectively cross-culturally as well as across regions/geographies with strong customer service skills 

Strong teamwork and interpersonal skills including demonstrated ability to flex to changing business needs, attention to detail, strong self-management, organizational skills, and problem solving   

Ability to maintain confidentiality  

Event coordinator/planning experience desirable
