Responsibilities:\n
\n\nGreeting visitors and employees; asking visitors if they would like a beverage; offering to hang their coat and\/or store their luggage; directing them to a restroom, if needed.\nEnsure security protocols are followed; contact the visitor's host to escort them to the correct destination ensuring that all visitors are attended to in a timely fashion.\nKeep the reception area neat and organized at all times.\nSchedule and maintain appointments and meetings utilizing online conference room\/meeting booking system.\nAdd meetings for larger\/configurable rooms to meeting tracker spreadsheet and ensure there are no conflicts with bookings and setups.\nMeet weekly with Facilities staff to review meetings and confirm meeting details; coordinate with IT for A\/V requirements; assist administrative staff as needed for meetings; work with catering companies to ensure proper delivery and setup.\nProvide general administrative and clerical support to the Workplace & Facilities department as needed.\nFront line for Security, ensure employees follow all security protocols; oversee additional contracted reception\/security staff as needed.\nManage Security Systems, ensuring data accuracy; creating ID badges as needed; reviewing security footage as requested by HR or a Workplace & Facilities Manager.\nRun daily access reports for Workplace & Facilities Manager, adding names of visitors and those who forgot their badges.\n\n
Qualifications:\n\nHigh School diploma or GED equivalent required.\nAbility to lift up to 50 lbs.\n1 to 2 years of receptionist experience.\nExcellent customer service skills; must possess a \"can do\" attitude.\nExcellent communication skills both verbal and written.\nAbility to effectively work individually or in a team environment.\nCompetency in performing multiple functional tasks.\nAssertive and resourceful; self motivated; willing to ask questions and take initiative be able to communicate clearly.\nConsistently demonstrates professional demeanor, appearance and attitude.\nGood customer service skills\nExcellent organization skills\n
