**Job Summary**
The role reports into the Executive Assistance and Travel Management Lead for Manulife Business Processing Services (“MBPS”). The Executive Coordinator is responsible for providing virtual support to the Global Sustainability and Impact Team. The Executive Coordinator will provide high-level administrative support to the Global Sustainability and Impact Team at Manulife which includes but not limited to light project management, managing team needs and supporting administrative tasks such as calendar management and event planning. This role is critical in ensuring smooth and efficient operations within the team, requiring confidentiality, professionalism, and exceptional organizational skills. The ideal candidate is a proactive and detail-oriented individual who excels in a fast-paced environment, is passionate about sustainability, and has strong reporting skills.
**Role and Responsibilities**
+ Provide comprehensive administrative support to three leaders within the Global Sustainability and Impact Team, including managing calendars, scheduling meetings, organizing travel arrangements and handle expense reimbursements.
+ Organising complex travel itineraries including visas, and processing expenses (experienced with Concur or similar system).
+ Adept with scheduling across multiple timezones.
+ Prepare, edit, and distribute correspondence, reports, presentations, and other documents related to sustainability initiatives.
+ Serve as a liaison between the Global Sustainability and Impact Team and internal/external stakeholders, handling inquiries and requests with professionalism.
+ Coordinate and facilitate key team meetings, including agenda preparation, minute-taking, and follow-up on action items.
+ Assist in planning and executing sustainability-focused events and projects.
+ Manage and prioritize incoming communications, such as phone calls, emails, and mail, ensuring timely and efficient responses.
+ Maintain and organize confidential files and records, ensuring accuracy and ease of access.
+ Conduct research and compile data to support sustainability initiatives and executive decision-making processes.
+ Develop and generate reports to provide insights and updates on sustainability projects and metrics.
+ Support other administrative tasks and projects as required.
**Qualifications**
+ 6+ years of relevant experience as an executive assistant, administrative assistant or similar role.
+ Strong oral and written communication skills required to interact with senior officers and representatives.
+ Strong organizational and time management abilities, with a keen attention to detail.
+ Excellent meeting planning and organizational skills (planning, coordination, priority setting, task management and follow through).
+ Proficient in making reports and deck/presentations.
+ Advanced Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
+ Highly collaborative and results-oriented.
+ Ability to handle sensitive and confidential information with discretion.
+ Strong interpersonal skills and the ability to work effectively with diverse teams.
+ Proactive and resourceful, with strong problem-solving skills.
+ With basic Project Management skills.
+ Passion for sustainability and understanding of environmental, social, and governance (ESG) principles.
+ Strong analytical skills and experience in developing and generating reports.
+ Ability to work independently and manage multiple priorities in a fast-paced environment.
+ Experience in the financial services industry or sustainability sector is a plus.
