The Executive Assistant reports to the Chief of Staff of the CFO and will directly support the CFO Executive Team ( CFO , Deputy CFO , and CFO Chief of Staff). This position is 100% full-time and on-site on the University of Utah campus in the Park Building, Monday through Friday. The Executive Assistant’s primary role is to support the CFO executive leadership team and ensure efficient operations by managing complex schedules, coordinating communications, and ensuring timely preparation of materials, including those submitted to the Board of Trustees. This position handles communication and processes with the highest level of professionalism and confidentiality, requiring a high level of discretion and adaptability. The Executive Assistant should be a team player who is resilient and flexible at handling change. **Responsibilities** In providing direct administrative support to the CFO Executive Team, the Executive Assistant’s duties include: * Managing the complex calendars of the three CFO leaders, scheduling meetings, and helping with meeting preparation as needed. * Coordinating travel, processing expense reports, and managing reimbursements. * Reviewing and formatting high-level correspondence, memos, and executive documents. * Ensuring timely preparation and submission of materials to the Board of Trustees, including agenda items, memos, and supporting documents. * Overseeing administrative workflows, internal operations, records management, and office communication for the CFO executive team. * Tracking and supporting key project timelines, deliverables, and action items across multiple workstreams. * Serving as an administrative liaison between the Chief Financial Officer and other university departments, external stakeholders, and partners. * Maintaining confidential records and politically sensitive materials with discretion. * Contributing to a positive, professional, and mission-driven work environment. * Serving as back-up to other office personnel as necessary. * Other duties as assigned **Minimum Qualifications** Bachelor’s degree (or equivalency) in Business, Finance, Health Care Administration or a related field. Two years office management and supervisory experience, demonstrated knowledge of finance and budgeting, and public relations skills required. Demonstrated human relations and effective communication skills are also required. **EQUIVALENCY STATEMENT : 1 year of higher education can be substituted for 1 year of directly related work experience. (Example: bachelor’s degree = 4 years of directly related work experience.)** Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description. **Preferences** Bachelor’s degree in Business Administration, Health Care Administration or related area, or equivalency (one year of education can be substituted for two years of related work experience); five years of progressively more responsible experience directly supporting executive-level individuals; and demonstrated human relations and effective communication skills required. * Strong organizational, problem-solving, and time-management skills. * Attention to detail, thoroughness, and accuracy. * High level of professionalism, discretion, and judgment. * Excellent written and verbal communication abilities. * Proficiency in Microsoft Office Suite and familiarity with university systems (preferred). * Ability to work independently and manage multiple priorities. **Type** Benefited Staff **Special Instructions Summary** **Additional Information** The University is a participating employer with Utah Retirement Systems (“URS”).
