Executive Assistant & Team Coordinator works closely with internal stakeholders to coordinate systems and processes in the assigned service line/state to ensure the team is able to deliver high standard services to the clients and achieve revenue targets. Executive Assistant & Team Coordinator may perform some Team Coordinator and/or Executive Assistant duties as required.Job Description
Key Responsibilities:
Coordinate internal team meetings, video conferences, and external stakeholder engagements.
Prepare high-quality presentations, reports, submissions, and documentation.
Maintain professional branding across a suite of team documents nationally.
Plan and execute client events in collaboration with our internal marketing team.
Build and maintain strong working relationships with internal and external stakeholders.
Coordinate internal processes and systems to streamline team operations.
Track renewals, invoices, and financials to support accurate reporting and forecasting.
Ensure timely delivery of internal and external communications.
Monitor and maintain key team workflows and task lists.
Qualifications & Technical Skills:
Minimum 3 years’ experience in a senior Executive Assistant or high-level administrative role.
Real estate industry background is advantageous but not essential.
Exceptional interpersonal and written communication skills.
Excellent attention to detail, time management, and the ability to handle competing priorities.
High level of discretion and confidentiality.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) at an intermediate level or above.
Demonstrated ability to work both independently and as part of a team in a fast-paced, dynamic environment.
Experience with document formatting, office coordination, and team operations.
