The Executive Assistant/Site Experience Lead is responsible for providing high‑level executive support while ensuring an exceptional on‑site experience for employees and visitors. This role drives operational excellence by managing executive calendars, site logistics, events, and front‑of‑house office operations that enable the organization to operate smoothly and efficiently.
This position reports to the Onsite VP and is part of the administrative department located in Madison, WI and will be an on-site role.
In this role, you will have the opportunity to:
+ Provide executive support, including complex calendar management, travel logistics, expense reporting, and coordination of priorities for senior leaders, including updating monthly reports and KPIs in close partnership with Executives
+ Lead on‑site meeting and event logistics such as client meetings, internal workshops, external workshops, town halls, and cross‑functional sessions—ensuring flawless execution from scheduling through technology setup.
+ Manage office operations, including monitoring essential inventories, coordinating with IT, facilities, and vendors, and resolving day‑to‑day logistical needs.
The essential requirements of the job include:
+ High school degree or above, college degree preferred.
+ Minimum of 5 years of experience working as an Executive Assistant, Office Manager, or in a similar administrative leadership role supporting senior‑level executives.
It would be a plus if you also possess previous experience in:
+ Strong planning and organizational capabilities, with demonstrated success managing multiple priorities and detailed operational workflows.
+ Strong understanding of Microsoft suites and technical aptitude, including enthusiasm for using AI‑enabled tools to streamline work and improve efficiency
