What we will count on you to do

Oliver Wyman is looking to hire an Executive Assistant based in our Kuala Lumpur office. This position involves providing comprehensive EA support to three Partners, including managing complex calendars, coordinating travel arrangements, and handling various administrative tasks including assisting with RFP-related administration.  

Calendar Management & Travel ArrangementMaintain diaries for Partners, scheduling internal and external meetings, communicating with clients and infrastructure staff as appropriateProactively identify opportunities to add internal and external meetings, interviews, staff meetings, follow-upAssist with scheduling complex project meetings as requested by the Partner and/or project teamCoordinate complex travel and accommodation, flights, cars, rail tickets, etc.Develop understanding of Partner scheduling and travel preferences Coordinate travel efficiently by grouping client meetings where possible ("you're in Singapore to see XYZ Company, shall I try to set up a meeting with X Company because we haven't spoken to them for three months")Business DevelopmentExtensive administrative support for RFP’s, including reviewing portals for possible opportunities, liaising with procurement teams, supporting the MOF certification process and attending tender briefingsBuild relationships with clients and clients EAsUnderstand the business goals and objectives of each Partner & proactively support, act as a strategic business partner to maximize client engagement and focus on client impactCRM Management – contact management and business activities updatesProactively spot clients that haven’t been called upon and/or who need follow up, support the Partners to adhere to the business development goalsPrepare letters, proposals and other documents using Oliver Wyman formatting styles Collaborate with Marketing colleagues for targeted campaigns including follow-up with key clients for business development meetingsDaily AdministrationArrange visas, work permits, interviews, working with Human Capital team membersManage documents and project deliverables when requestedAct as central point of contact for all assigned Principal/Partner administrative needs, liaise with other support departments as necessaryPrepare monthly timesheets for each assigned Principal/PartnerPrepare all expense reports in accordance with policyResponsible for working with OW iProcurement team for PO creation and vendor/supplier paymentsTeam SupportProvide coverage for EAs who are out of the office to ensure seamless support to Principals/PartnersBe a strong team player, willing to share ideas, identify and drive process improvements.  You should be open to developing a growth mindset, supporting your own and others professional development

What you’ll need to have

Prior experience as an Executive Assistant working in a fast-paced environment, able to demonstrate an ownership mentality and an excellent problem solverPrevious experience of RFP support would be a benefitFluency in English and Malay required, other languages would be beneficialProficiency working with Microsoft Office Suite, excellent CRM knowledge is advantageSuperior written and verbal communication skills – responsive, intuitive and demonstrates a high level of emotional intelligenceExcellent judgement with ownership mentalityEmpathetic, courteous, positive demeanor – willing to ask for and offer help
