Job Description
The Executive Assistant (EA) provides administrative support to the SVP, Chief Ethics, Compliance and Privacy Officer and the VP, Compliance Officer and Chief Regulatory Counsel. The SVP, Chief Ethics, Compliance and Privacy Officer has global responsibility for the Ethics Office, Privacy & Digital Law Office and Compliance teams and is the chair of the Company’s Compliance & Ethics Committee (C&E) and Policy Oversight Committee. The EA will assist in ensuring that all meetings are set up for administrative success and will directly participate in the planning and execution of these meetings.
The EA will interact with employees at all levels of the organization, including members of the BD Executive Team, as well as external contacts from law firms, vendors, and outside consultants.
The ideal candidate will be a detail-oriented professional with exceptional communication skills and the ability to manage multiple tasks efficiently. This individual is often the first point of contact for these teams and is expected to be a champion of BD culture, exhibiting behavior in line with our Core Values. This role requires a high level of discretion and the ability to handle confidential information with integrity and professionalism. The ideal candidate must be able to work independently and maintain a high degree of confidentiality in dealing with all correspondence, reporting, presentations, HR matters, Ethics and Compliance related materials, etc.
Key responsibilities:
Administrative Support: Provide comprehensive administrative support including managing calendars, scheduling meetings, coordinating travel arrangements, submitting expense reports, maintaining the department organizational charts, providing billing support in Legal Tracker and managing Teams sites for BD’s E&C and Regulatory Law teams.
E&C Support: Work closely with the E&C Leadership Team and provide support relating to routine and specific matters, including scheduling LT meetings, Town Halls, CLE training sessions, off-site meetings and Compliance and Ethics Committee meetings. Manage timelines and coordinate deliverables required by various (internal) executive meetings.
Regulatory Law Support: Schedule team meetings, team activities, and CLE training sessions; open matters in Legal Tracker, assist with certain reporting requirements and with occasional special projects as needed.
Maintain skill levels with current technology used at BD.
Work closely with the executive assistants of senior BD leaders.
Minimum qualifications:
High school diploma/GED with formal training or equivalent work experience required. College degree preferred.
At least ten years of relevant experience supporting senior executives in a global organization required.
A high level of proficiency with Microsoft Office applications (Outlook, Word, Excel, and PowerPoint) required.
Knowledgeable in scheduling domestic and international business travel and accommodations (including passports, visas, etc.), preparing, reconciling and maintaining expense reports.
Confidentiality is a must. This role will have access to highly confidential information (both organizational and personal), and this individual must be trusted to always maintain confidentiality of this information.
Must be able to project and present a professional image of the executive office.
Be someone who fosters a positive team atmosphere with a willingness to cooperate with other members of the administrative team when required
Excellent organizational skills and attention to detail required.
Preferred qualifications:
Proficiency in/Comfort with using various online resources and tools such as Workday, Concur, Buysmart (purchase requisitions, office supplies), Legal Tracker, and navigating Company intranet sites.
Experience with AI tools (such as Microsoft Copilot), Canva and online survey tools, or a willingness to learn, is required.
Be flexible to ad hoc requests for support for the good of the function and the business
Be able to handle many parallel tasks at once.
