Commercial Programs
The Executive Assistant for the Commercial Programs organization supports the VP Commercial Programs and 505 Program Manager, 525 Chief Engineer and 525 Program Manager, and Director of Certification. In addition, the position may provide support to the Managers that support this VP and Chief Engineer as time permits.
The position is responsible for managing schedules, arranging appointments, managing travel, and coordinating meetings and conference calls. This position has frequent access to confidential and complex information. This position communicates information and corporate policy to others. The Executive Assistant is often called upon to communicate with the VP’s direct reports and with Bell service providers.
What you’ll be doing as an Executive Assistant – Commercial Programs
Effectively manage calendars and adapt to rapid schedule changes; order, track, and maintain office supplies; manage correspondence.
Assist leadership and customers in the preparation of both domestic and international travel arrangements and processing of expense reports.
Schedule and coordinate various internal and external meetings, conferences and events at varying levels of management and provide support in hosting and/or conducting meetings as needed.
Support special projects and assignments, including departmental and company outreach initiatives.
Interface with executive management, internal and external customers, and administrators on behalf of the Commercial Programs organization.
Identify potential problems and areas in need of improvement and take action as appropriate.
Prepare presentations by using PowerPoint and other MS tools.
Coordinate visitor requests and events.

Skills You Bring To this Role
High school diploma or GED required, Bachelor’s degree preferred.
Minimum 6 years demonstrated success as an executive administrative assistant in a corporate role.
Extensive experience with Microsoft Office, including strong experience creating PowerPoint presentations.
Must be able to maintain confidentiality, exercise good judgment and exhibit a high level of integrity and discretion.
Must be a self-starter with proven ability to multi-task and proactively support multiple program initiatives.
Exceptional organizational skills, attention to detail and ability to effectively prioritize critical tasks effectively.
Experience managing emails, calendars and schedules, and travel arrangements for leaders, including corporate travel and expense reporting.
Experience with MS Access or other construction databases, as well as project management software, is preferred.
