Executive Assistant
Description Position Overview Our client in Akron, Ohio is seeking a highly organized, proactive Executive Assistant to provide dedicated support to the company President. This role requires strong attention to detail, excellent communication skills, and the ability to anticipate needs while managing multiple priorities. The position involves significant travel coordination, event planning, and cross-functional collaboration with leadership, marketing, finance, and community partners. This is a direct hire position that is in office but can switch to hybrid after 90 days. Key Responsibilities Executive Support + Provide high-level administrative support to the President, anticipating needs and ensuring seamless daily operations + Manage a complex calendar including meetings, events, travel, and recurring commitments + Prepare weekly planners and provide ongoing updates regarding schedule changes and priorities Travel & Event Coordination + Coordinate frequent domestic travel (with occasional international travel), including itineraries, registrations, lodging, transportation, and conference logistics + Manage travel expenses and collaborate with Finance on expense reports and billing + Assist with planning annual conferences, often beginning preparations immediately after prior events conclude + Help organize team events, staff meetings, and company functions + Arrange catering, lunches, and logistics for meetings and internal gatherings Community & Marketing Support + Assist with coordination of community events and sponsorships, including purchasing tables and managing related logistics + Collaborate with marketing teams on conferences, materials, and event preparation + Help prepare presentation materials for staff meetings and organizational communications + Maintain communication with various external organizations and partners Qualifications + Prior Executive Assistant or senior administrative support experience preferred + Strong organizational, multitasking, and time management skills + Excellent written and verbal communication abilities + Ability to work independently, take initiative, and anticipate executive needs + Proficiency with common office software and scheduling tools + Comfortable managing travel logistics, expenses, and event coordination They do offer a full benefits package; medical, dental, vision, PTO, paid holidays, 401K, life insurance, long/short term disability, profit sharing, and MORE! Requirements • Proven experience in an administrative or HR role, preferably supporting senior leadership. • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively. • Excellent communication abilities, both written and verbal, for interacting with internal teams and external organizations. • Proficiency in travel coordination, including booking arrangements and managing itineraries. • Familiarity with event planning and logistics, including preparation of materials and coordination of schedules. • High level of attention to detail and accuracy, particularly in preparing reports and presentations. • Ability to adapt to a dynamic work environment and handle tasks independently. • Proficiency in basic office software and tools, such as Microsoft Office Suite.
