**Position Summary**
The Executive Assistant is the operational backbone of the GM and executive Leadership Team (LT) at Roche Pharma Korea. This role requires exceptional discretion and the ability to anticipate leadership needs before they arise.
We are seeking a professional who takes full ownership of the administrative spectrum—from complex global logistics and guest management to the fine-tuning of internal communications and organizational projects.
By acting as a strategic liaison and a hands-on operator, the Executive Assistant ensures organizational alignment and message consistency, allowing the LT to remain focused on high-level strategic outcomes.
**Key Responsibilities**
**Executive Support**
+ Manage the GM’s schedule, including arranging meetings and events.
+ Support the planning and execution of LT meetings, town halls, and key events.
+ Prepare and review reports, presentations, and correspondence on behalf of LT.
+ Support GM travel coordination, agency-related tasks, and ad-hoc matters.
+ Proactively propose and coordinate activities related to GM tasks and the agenda, and administrative matters.
+ Ensure timely personal support to the GM with any matters related to onboarding, expatriation, and living in Korea
+ Logistics follow-up on action items from LT discussions and meetings.
**Coordination & Administrative Excellence**
+ Coordinate and follow up on the LT backlog, team charter, and tasks.
+ Oversee calendar management and scheduling for both GM and LT, resolving conflicts as needed.
+ Manage vendors, expense reporting, budget tracking for GM and LT activities.
+ Maintain and organize critical documents, contracts, and communication records.
+ Support GM on any administrative task as needed.
+ Work closely with all relevant functions to ensure coordination and execution.
+ Handle all logistics related to GM meetings or LT regular ad-hoc meetings.
+ Assistant with special projects and tasks as needed
**Communication and Liaison**
+ Facilitate effective communication within the organization and externally with stakeholders, partners, and Roche’s regional or global teams with matters related to GM and LT as required.
+ Prepare materials, speeches, presentations etc with coordination with the communication team or the respective team as required.
**Event Planning and Management**
+ Plan, organize, and execute events such as leadership offsite meetings, strategic workshops, and internal forums, or any other as would be required.
+ Collaborate with People & Culture, Communications, and other departments to ensure alignment with Roche’s in achieving the different outcomes.
+ Handle all logistics related to GM meetings or LT regular / ad-hoc meetings.
**GM Office Management -** As supervisor of the GM driver, manage driving schedule/time reports and ensure efficiency.
**Qualifications**
**Education and Experience**
+ Bachelor’s degree required; advanced degree preferred.
+ Minimum 7 years of experience in executive assistant, coordination
+ Working in an international environment is required.
+ Overseas work experience - an advantage.
**Skills and Competencies**
+ Strong organizational and multitasking abilities with keen attention to detail.
+ Excellent verbal and written communication skills in Korean and English.
+ Proficiency in Google Suites, MS Office Suite (Word, Excel, PowerPoint), and scheduling tools, with the ability to quickly learn new systems.
+ Ability to work independently and anticipate needs in a dynamic environment.
+ Strong communication skills, strategic thinking, and project management leadership.
+ Strong interpersonal skills with the ability to build relationships across all levels of the organization.
