**INTRODUCTION and WHAT YOU WILL DO (Job Responsibilities)**
Gilbarco Veeder-Root (GVR) is seeking an experienced, polished, bright Executive Assistant with a positive, can-do attitude who will support the Head of Operations.
You will work closely with a team of senior operations leaders and their staff along with other executive assistants throughout Gilbarco Veeder-Root, also liaising with our parent company Vontier. You are a well-organized professional, working effectively with internal and external clients, possess excellent customer service and communication skills, and have the ability to shift gears at a moment’s notice. You will need to be able to work independently on projects, from conception to completion, and must be able to work under pressure at times and handle a variety of activities and confidential matters with discretion. You will be a reflection of the Operations Function and its senior leaders, and a face to the company when interacting with employees, the C-Suite, customers, and vendors.
You will possess excellent oral and written communication skills and play a key role in internal operations communications.
**WHAT YOU WILL DO:**
The Executive Assistant is accountable for complex administrative tasks in support of the Head of Operations using sound judgment in dealing independently with a variety of routine and non-routine problems and situations.
• Provide a broad variety of administrative support to the Head of Operations.
• Maintain an extremely active calendar of meetings, arrange complex and detailed travel plans, itineraries, and agendas, manage expense reports, manage the event calendar, and compile documents (sometimes confidential and sensitive) for meetings.
• Plan, schedule, and coordinate meetings and conferences (both live and virtual).
• Perform assigned projects requiring independent analytical thinking and judgment, with the ability to develop outstanding written communications.
• Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures.
• Establish and maintain official documents and records in appropriate files.
• Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
• Professionally interact with internal and external stakeholders. Arrange events and venues for critical meetings and assist with travel coordination. Ensure relevant material is collected and distributed professionally from many constituents utilizing a strong attention to detail.
• Manage other projects as needed.
**WHO YOU ARE (Qualifications)**
This role typically requires a university degree or equivalent prior experience in an executive administrative support role, ideally with at least 2 years supporting a Sr. Level executive with global responsibilities or a combination of education and experience that demonstrates the required skills.
• Advanced computer skills including Word, Excel, PowerPoint, and Outlook. Experience with collaboration technology (e.g., SharePoint, Microsoft Teams, etc.).
• Strong attention to detail. Demonstrated accuracy and thoroughness of work, monitors own work to ensure quality.
• Quick learner.
• Must have a high level of interpersonal skills to handle sensitive and confidential situations with discretion.
• Position continually requires demonstrated poise, tact, diplomacy, and a positive can-do attitude.
• Ability to work in a fast-paced complex environment, and able to be innovative and creative in work responsibilities.
• Knowledgeable in creating an effective workflow and have excellent organizational skills.
• Strong analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
• Ability to maintain the highest level of integrity and confidentiality.
