Job Description

Manage and maintain executive calendars, coordinate meetings/conferences, ensure all materials/packages, and catering requirements are providedAct as the VP’s delegate for email and phone during absences, handle/forward issues, prioritizing for VP’s action upon returnFor multi-channels develop communications, meeting/conference materials, forms, documents, presentations and spreadsheetsCoordinate all requirements, maintain appropriate records in managing the team; including preparing and verifying monthly expense claims and invoices, travel and other expenses, supplies, and updating vacation and absence for the VPs and their teamsOrganize regular team meetings, employee recognition celebrations, and other team eventsMaintain global distribution list and distributes group-wide communicationsRaise awareness among the team, extend invitations to key business partners, maintain effective knowledge of all relevant resources and services available within organizationCollaborate with other EAs across the market to manage sponsorships, donations and other expense budgetConnect with external community stakeholders to assist with RBC market presence

Must-have

Excellent interpersonal, communication (written and verbal) skills with the ability to work with all levels of management and staffAbility to take initiative, prioritize tasks, function independently, and work as part of a teamAbility to handle sensitive and confidential information with discretionSuperior attention to detail, calm under pressure and confidenceInnate ability to develop and maintain constructive and cooperative working relationships with individuals at all levels of the organizationProficient with Microsoft applications such as Outlook, Word, Excel, PowerpointComfortable learning RBC systems and tools such as Workday and other legacy and new digital systems and tools

Ability to anticipate needs, be resilient in challenging situations and persevere to get the job doneProfessionalism, initiative, enthusiasm, energy, and a sense of urgency4+ years of Financial industry Executive Admin experience
