Executive Assistant

This role is pivotal in enabling enterprise-wide priorities and ensuring seamless operations at the highest level of the organization. You will manage complex schedules, coordinate strategic initiatives, and serve as a key liaison across internal and external stakeholders with professionalism and discretion.

You Have:

Bachelor’s degree or professional equivalent; advanced administrative or business training is a plus.1-3+ years of experience in an executive assistant role, supporting senior executives in a complex, matrixed organization.Advanced proficiency in Microsoft Office Suite and enterprise collaboration tools.Strong organizational and time management skills, with the ability to manage ambiguity and competing priorities.Executive presence and the ability to handle sensitive information with absolute confidentiality.

You Will:

Provide comprehensive support to Marketing senior leaders, including complex calendar management, strategic prioritization, and high-level meeting coordination.Organize and manage logistics for executive meetings, including virtual setups, menus and catering and supporting team volunteer activities; prepare and distribute detailed meeting minutes and follow-up action items.Prepare and review PowerPoint slides for team meetings and town hall meetings.Coordinate domestic and international travel arrangements for multiple parties, ensuring compliance with travel policies and budget constraints.Monitor budget expenditures and assist in budget planning and allocation processes; set up and manage purchase orders and external vendor communications; prepare basic financial reports as needed.Implement efficient record-keeping systems and ensure records are updated regularly.Serve as a liaison between executives and internal/external stakeholders, ensuring timely and accurate communication.Support enterprise initiatives and special projects, often requiring cross-functional collaboration.Anticipate needs and proactively identify opportunities to enhance executive productivity and effectiveness.

This is a hybrid role with 3 days a week in our Hudson Yards, New York Office.

Salary Range:

$67,980.00 - $101,970.00

The salary range reflected above is a good faith estimate of base pay for the primary location of the position. The salary for this position ultimately will be determined based on the education, experience, knowledge, and abilities of the successful candidate. In addition to salary, this role may also be eligible for annual, sales, or other incentive compensation.
