Executive Assistant

Description

• Work closely with the president on the daily function of business processes and procedures.

• Work with president to maintain and develop office and employee policies.

• Responsible for accounts receivable and accounts payable entries into company accounting system.

• Responsible for daily invoicing.

• Responsible for ensuring payments are received within payment terms.

• Communicate daily with president and inside sales staff about accounts receivable issues or concerns with distribution partners.

• Maintain strong relationships with the accounting personnel of distribution partners and vendors.

• Manage credit application process for new distribution partners.

• Responsible for entry of vendor invoices and working with president on accounts payable.

• Manage freight invoices, discrepancies and claims by working with sales staff, warehouse staff, distribution partners, and freight vendors.

• Manage expense reports and receipts for all business related activity.

• Manage commission reports for sales staff.

• Monitor warehouse and office supplies and cost effectively order as needed.

• Track employee vacation time and personal time off.

• Track hourly worker’s time.

• Coordinate building maintenance with building owner and outside contractors.

• Participate in the planning and execution of company events.

• Maintain all company files.

• Responsible in maintaining conference room and common areas of the office.

• Back up to inside sales during busy times or when staff are out of the office.

• Assist the president of the company as needed.

Additional Skills & Qualifications

Must haves:

- Previous experience as executive assistant / office management

- Experience with daily invoicing

- Basic accounting knowledge

- Proficient within Excel

Nice to haves:

- Microsoft Dynamics 365 business central experience

Job Type & Location

This is a Contract to Hire position based out of Hamilton, OH.

Pay and Benefits

The pay range for this position is $27.87 - $27.87/hr.
