What is the opportunity?
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support 3 Executives in the CAE Group in Toronto. This role requires a dynamic individual who can manage executive schedules, handle confidential information with discretion, and maintain a productive, efficient and a professional workplace environment. Areas of work include Executive Support, Team Event Planning, Travel Coordination, Administrative Operations and Team Communications.
What you will do?
Provide high-level administrative support to 3 Executives in the CAE Group: including calendar management, travel arrangements, expense reporting, and meeting coordinationPrepare and edit correspondence, communications, presentations, and other documentsPrepare and provide executive committee administrative supportAct as a liaison between the executives that you support and internal/external stakeholdersHandle confidential and sensitive information with the utmost discretionManage special projects and initiatives as directed by the executives that you supportWork closely with other administrative assistants in the organization to effectively plan meetings, and events and manage calendar series. Provide administrative back-up to other executive assistants during vacation and other absencesAs required, follow up on any agenda items or deliverables including coordination with facilitator and presenters to deliver materials in a timely mannerSupport the team in activities to drive deeper employee engagement (i.e., team social events, coffee chat sessions, focus groups, and other opportunities)Proactively seek opportunities to provide additional value to ensure all established deadlines/commitments are met.What do you need to succeed?
Must Have
5+ years’ experience as an executive assistant supporting executives (Vice President & above) in a fast-paced, ever-changing environmentExceptional time management and organizational skills with proven experience in managing complex calendars, travel and meetings, you can juggle multiple priorities and manage your time well independentlyAbility to work with minimal supervision; efficiently and accuratelyStrong understanding of the cultural nuances of working across a global teamStrong understanding of business priorities and ability to anticipate executives needsExceptional written and verbal communication skillsFully proficient with Microsoft Office (Word, PowerPoint, Excel, Outlook) and AdobeCollaborative and team-oriented with a positive, “no task too small” mindset, you’re willing to roll up your sleeves and handle anything that comes your way; demonstrated initiative, positive and helpful attitude when dealing with othersExcellent interpersonal skills, diplomacy, tact, positive can-do attitude.Nice to Have
Solid knowledge of relevant policies and procedures (e.g., Workday, vacation and absence management; expense guidelines; travel policy)Experience with Human Resources tool, Workday.Previous experience in the financial or banking sector, with a strong understanding of industry terminology and workflowsJob Skills
