Job Description

What is the opportunity?

In the role of Executive Assistant, you will provide comprehensive administrative support to Chief Investments Officer, Insurance and Chief Digital, Data and Strategy Officer, Insurance, ensuring seamless coordination and communication across various departments.

What will you do?

Manage Chief Investments Officer and Chief Digital, Data and Strategy Officer calendars including coordinate meetings, book meetings location and equipment resources, prioritize scheduling, and manage conflicts; Ensure access for executives across RBC locations

Organize video and in-person meetings, set up and coordinate business planning sessions, staff meetings, management meetings, and one-on-ones with direct reports

Ensure executives are prepared and supported to meet deadlines and commitments by identifying opportunities to add value and improve efficiency

Travel arrangements (both domestic and international) and prepare detailed itineraries

Complete expense reports and reconcile Visa statements on a timely basis

Coordinate on office requirements such as furniture, new equipment, electrical requirements and coordinating with corporate/onsite teams and contractors

On boarding and off boarding of employees as required

Maintain and update team vacation calendar and absentee records

Assist with events and off-sites planning

Special project work or administrative tasks as required

What do you need to succeed?

Must Have

Minimum 5 years of experience in executive administration or executive assistant roles supporting senior-level leaders

Strong interpersonal and diplomacy skills, with the ability to engage effectively at all levels of the organization

Proven ability to prioritize competing demands in a collaborative, fast-paced environment

Highly adaptable, with the ability to navigate shifting priorities and work efficiently with minimal supervision

Excellent interpersonal & communication skills (including written)

Excellent knowledge of MS Office including Outlook

Proactive, well organized, able to deal with multiple tasks and changing priorities

Able to work independently, self-motivated, eager and able to learn

High level of professionalism and discretion

Flexibility to work in office, at both office locations: Mississauga and Downtown Toronto

Nice to Have

Compensation for this position (including salary and discretionary/variable payments) will be determined by factors, including but not limited to candidate's experience, skills, registration status, performance, individual goals, market conditions, and business needs.

Pay Range

The expected pay range for this position is:

$46,000.00 - $70,000.00

The pay range provided is for the primary work location referenced in the Additional Job Details section of this job posting. Pay ranges may differ based on location.
