Executive Assistant

We are seeking a talented individual to join Marsh as an Executive Assistant. This role will be based from our Melbourne office. This is a hybrid role and is offered on a fixed-term, maternity contract basis until the end of 2026.

We will count on you to:

Partner with Executives to proactively manage their diaries and inbox, anticipate their needs and ensure they are adequately prepared for discussions, meetings and events.

Maintain efficient electronic filing systems to allow for quick access to critical information as required. 

Act as a point of contact for our Non-Executive Directors, assisting with, or re-directing queries as required, arranging travel and accommodation for Board and Committee meeting and processing payments.  

Set agendas for Leadership meetings, documenting and sharing actions and follow up. 

Assist with the successful delivery of team-wide events, ensuring run-sheets, presenter briefings, speaking points, room bookings, technology and catering are all in place. 

Develop a working knowledge of company policies to provide information support to Executives, when required. 

Liaise and build strong relationships with key stakeholders across the business from Facilities to the IT department, to ensure the smooth delivery of day-to-day activities. 

Ensure a seamless on-boarding experience for new senior colleagues.  

Expertly navigate our systems to process expenses, vendor invoices and arrange domestic and international travel. 

What you need to have:

A minimum of 5 years’ experience providing support to Executives. 

An expert at juggling multiple tasks, with the ability to prioritise and manage your Executive’s expectations.  

You’re autonomous and can be given a problem to take away and solve.  

You understand how a business is run and how your decisions can impact financial outcomes.   

You are self-motivated and take pride in delivering high-quality and timely outcomes.

You are confident dealing with people at all levels and have proven experience mentoring junior colleagues. 

High-attention to detail which is evidenced in your review of presentations and your written communications.
