Executive Assistant
Executive Assistant Job Description This role involves assisting the CEO of the company. The ideal candidate should have previous experience working with a C-Suite level individual, managing their calendar and flight plans both domestically and internationally. The candidate should be organized, a great listener, and willing to share ideas that drive business growth. Responsibilities + Manage all activity in Outlook, including maintaining contact databases and managing professional and personal calendars and schedules. + Anticipate the CEO’s forward calendar needs and develop advance briefing materials. + Continually update and maintain the company’s Accountability Chart for all divisions. + Compile reports and updates by pulling information from systems and soliciting input from functional personnel. + Serve as a liaison between the CEO and other employees. + Complete special projects and assignments by establishing objectives, determining priorities, managing time, gaining cooperation, monitoring progress, and solving problems. + Communicate with internal colleagues and external counterparties with grace, diplomacy, and poise. + Maintain awareness of special projects and corporate priorities to assist the CEO’s tracking of priorities. + Demonstrate solid judgment and discretion when handling confidential information. + Manage expense reporting and selected personal financial and administrative matters for the CEO. + Assist with general office administration, including office management, setup/tear down of office spaces, inventory, cleaning, and room reservation management. + Plan and execute all aspects of the company’s Annual Incentive Trip. + Answer inbound office calls. + Lead strategic initiatives that support and enhance the company’s culture and long-term success. + Anticipate needs and proactively address issues. + Assist other Leadership Team members as assigned. + Resolve issues and troubleshoot operational and administrative situations. + Organize and maintain physical file systems. + Perform other duties as assigned. Essential Skills + Experience as an Executive Assistant with C-Suite level. + Proficiency in Calendar Management using Outlook. + Travel Management expertise. + Experience in expense reporting. + Proactive approach in the workplace. + Strong communication, listening, and organization skills. + Bachelor’s degree. Additional Skills & Qualifications + Familiarity with expense reporting software (trainable skill). + Preference for candidates from Denver University or Oregon State. + High level of business acumen. + Personable but not overly talkative. Work Environment The role is in-office, typically Monday to Friday from 8 AM to 5 PM, with flexibility to work outside these hours and on weekends if needed. The dress code is smart casual, with jeans acceptable if neat and professional. The culture is fun, loving, and encourages a 'go-getter' attitude. The environment is animal-friendly, allowing employees to bring dogs and occasionally cats to work. Job Type & Location This is a Contract to Hire position based out of Greenwood Village, Colorado. Pay and Benefits The pay range for this position is $38.46 - $43.27/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
