Job Title: Executive Assistant to SVP of Human Resources

Job Description

The Executive Assistant plays a pivotal role in supporting executive leadership by managing daily, monthly, and quarterly responsibilities involving internal and external stakeholders. This role requires initiative and proficiency in administrative duties to assist leadership in all areas.

ResponsibilitiesManage executive’s calendar and scheduling, including all internal and external meetings.Plan all aspects of Executive’s travel, both domestic and international.Coordinate and lead preparation for all Leadership meetings, including securing meeting location, travel, accommodations, catering, equipment, and supplies.Collate briefing documents for Executive meetings, including drafting, preparing, and proofreading letters, memos, reports, spreadsheets, charts, and presentations.Process expense reports, requisitions, and new hire needs.Assist with special projects, which may include research or specific personnel and organizational development initiatives.Interact effectively with all stakeholders, including internal and external customers, and develop collaborative relationships across the organization to ensure positive results.Arrange all aspects of department gatherings, including location, set-up, food, and activities.Create professional PowerPoint presentations.Enter all invoices to ensure timely payment to vendors.Field incoming phone calls, follow-up, and resolve appropriately.Maintain various department lists, as well as department and organizational charts.Handle time-clock issues for the department.Act as a department liaison when appropriate.Essential Skills5 years of administrative experience supporting C-suite or VP level executives.Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.Experience managing calendars and arranging travel.Bachelor's Degree or a minimum of 9 years of experience in an Executive Assistant role (or similar).Additional Skills & QualificationsExperience with Concur expense system.Supporting C-level executives.Experience supporting HR Executives.Experience in large, complex organizations.Work Environment

The role offers flexibility to work a hybrid schedule across Vernon Hills, Rosemont, and Chicago offices. The standard work hours are Monday to Friday, 8 AM to 5 PM, with the expectation to work additional hours as needed to meet deadlines.

Pay and Benefits

The pay range for this position is $35.00 - $43.25/hr.
