Job Title: Executive Assistant to SVP of Human Resources
Job Description
The Executive Assistant plays a crucial role in supporting executive leadership with a variety of daily, monthly, and quarterly responsibilities involving both internal and external stakeholders. This role requires initiative and attention to detail in managing administrative duties to aid leadership across all facets.
Responsibilities
+ Manage executive’s calendar and scheduling, including coordinating all internal and external meetings.
+ Plan and oversee all aspects of executive travel arrangements.
+ Coordinate and prepare for leadership meetings, including securing meeting locations, travel arrangements, accommodations, catering, equipment, and supplies.
+ Draft, prepare, and proofread letters, memos, reports, spreadsheets, charts, and presentations for executive meetings.
+ Process expense reports, requisitions, and new hire needs.
+ Assist with special projects, including research and personnel or organizational development initiatives.
+ Interact effectively with all stakeholders, developing collaborative relationships to ensure positive outcomes.
+ Arrange all aspects of department gatherings, including location setup, food, and activities.
+ Create professional PowerPoint presentations.
+ Enter invoices and ensure timely payment to vendors.
+ Field incoming phone calls and resolve issues appropriately.
+ Maintain various department lists and organizational charts.
+ Handle time-clock issues for the department.
+ Act as a department liaison when appropriate.
Essential Skills
+ Minimum of 5 years administrative experience supporting C-suite or VP level executives.
+ Proficiency in Microsoft Office applications, including Outlook, PowerPoint, and Excel.
+ Experience managing calendars and arranging both domestic and international travel.
+ Bachelor's Degree or, if no degree, a minimum of 9 years of experience in an Executive Assistant role or similar.
Additional Skills & Qualifications
+ Experience with the Concur expense system.
+ Experience supporting HR executives.
+ Experience in large, complex organizations.
+ History of maintaining confidentiality with private and sensitive information.
+ Strong organizational and time management skills, with creative problem-solving abilities.
+ Excellent verbal and written communication skills.
+ Ability to adapt to changing business needs while meeting deadlines.
+ Flexible work approach, including availability for nights and weekends when needed.
+ Experience in event planning, meeting coordination, and partner/vendor relations.
+ Influence and negotiation skills tailored to target audience needs.
Work Environment
This role offers flexibility to work a hybrid schedule across Vernon Hills, Rosemont, and Chicago offices. Regular working hours are Monday through Friday, from 8 AM to 5 PM, with the necessity to work additional hours as needed to meet deadlines.
Pay and Benefits
The pay range for this position is $35.00 - $43.25/hr.
