The Executive Assistant provides a range of administrative support and coordination of projects for the executive by performing administrative activities in an efficient and organized manner
Maintains the highest level of confidentiality in regards to conversations, communications and materials that involve the Company Understands the annual business cycle and anticipates the executive’s needs regarding preparation for and scheduling of activities; manages the executive’s calendar; schedules meetings, calls, and other interactions based on the priorities of the executive. Coordinates extensive travel and expense reporting, including flights, hotels, ground transportation, meeting arrangements as well as related activities (passport, visas, etc.) Organize logistics around high-level conference calls, webinars, video conference, special projects and events Schedules staff meetings, develops staff meeting agendas and ensures participants are ready for the meetings ensure that follow up actions from the meeting are documented and completed. Prepare correspondence, reports and formal presentations and distribute timely. Handle all administrative tasks associated with high level meetings including scheduling, making copies, ordering catering, etc. Assist in overseeing the use of the Board Room and Executive Conference Rooms to ensure they are well maintained and that all equipment is in good working order. nteract daily and act as liaison with all levels of management and administrative staff based domestically and internationally. Serve as back-up for the coordination of Board of Directors meetings, travel, etc. Role may require flexibility on time/schedule at times due to projects and support of executives while overseas. Management and development of Administrative AssistantEducation:
Bachelor's or Associate’s degree preferred, or equivalent combination of education and experienceYears and Type of Experience:
5+ years' experience providing administrative support for senior-level executives; C-level executive support preferred Prior experience in fast-paced environment that requires strong multitasking skills and time management Adapts well to a rapidly changing environment and new processes and responsibilities Ability to work under pressure, clear communicator, who meets deadlines Proficient in Microsoft Office Suite, Microsoft Teams, Microsoft SharePoint Excellent verbal and written skills, operating with discretion and tact Some travel to events and internal meetings, locally and internationally Prior experience working with Board of Directors members and investors preferred
