Executive Assistant, Wealth Management (EquityZen)

This role would be supporting our EquityZen business leads, with a variety of administrative, organizational, and logistical responsibilities. This position offers a unique opportunity to interface with senior-level executives across the Morgan Stanley Wealth Management division.

The ideal candidate embodies the firm’s core values, is team oriented and will collaborate across the organization. The candidate brings knowledge of operational processes and administrative capabilities as well as demonstrated experience supporting executive leaders. This individual must have excellent communication and organizational skills, ability to use or self-learn technology systems, the ability to manage a fast-paced work environment and effectively multi-task. This is an on-site role based in lower Manhattan.

 Key Responsibilities Include:

Managing complex schedules with focus on proactively identifying and resolving conflicts and communicating them to senior executives in a timely mannerHandling travel arrangements, including booking flights, hotels, and ground transportation; collecting all relevant details and preparing trip itineraries; communicating with trip organizersVetting and prioritizing requests for meetings and external appearancesOrganizing and submitting expenses including securing pre-approvals for internal and external (product vendor) as requiredAnswering phone inquiries and directing as appropriatePlanning, organizing and implementing events such as team meetings, department wide events and off-sitesPerforming ad hoc administrative and business management responsibilitiesCreating presentations and providing meeting summariesShadowing the executive or serving as proxy in lower or midtown Manhattan offices as neededTaking on special department projects as capacity allows

Qualifications:

Bachelor’s degree preferred and 5+ years of professional experienceFamiliarity with Morgan Stanley and the financial services/wealth management industry, requiredExcellent organization, time management, and communication skillsA detail-oriented self-starter who is eager to take on complex assignmentsSomeone who exhibits sound judgement with the ability to prioritize and multi-taskSomeone who is energetic and eager to tackle new projects and ideasAn individual who is comfortable interacting with high-level executivesA team-player capable of cultivating productive working relationships across the firmExcellent computer skills, including Outlook, Word, PowerPoint and ExcelExceptional writing, editing and proofreading skills

Expected base pay rates for the role will be between $57,000 and $115,000 per year at the commencement of employment. However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs
