Executive and Office Assistant, RBC BlueBay Asset Management - Luxembourg

Job Description

What is the opportunity?

You will join the Luxembourg office as Executive and Office Assistant, providing high-level administrative and organisational support to the Office Manager and acting as Executive Assistant to the Head of the Management Company (ManCo).

This role is key to ensuring the smooth day-to-day running of the Luxembourg office and supporting the coordination of European branches (Stockholm, Milan, Madrid, Amsterdam, Paris and Munich)

This role is a permanent full time position and requires 4 days in the office.

What will you do?

Manage the CEO’s diary, meetings and travel arrangements (transport, accommodation, signing coordination, expenses).

Provide full administrative support to the Head of ManCo, including document signing and expense management.

Support the Offica Manager in overseeing office operations for Luxembourg and European branches.

Coordinate onboarding for new joiners across Luxembourg and branches.

Manage and process invoices (review, approval coordination and filing into Concur system).

Organise board meetings and ad-hoc meetings (meeting rooms, catering, visitor reception).

Maintain office procedures and administrative systems (security, access badges, parking supplies, IT equipment tracking).

Liaise with internal staff, European branches, landlords and external suppliers to ensure efficient office operations.

What do you need to succeed?

Must-have

Fluency in English and French (written and spoken).

Proven experience in an administrative and/or personal assistant role.

Excellent organisational skills with strong attention to detail.

Ability to manage multiple priorities and work under pressure.

Strong communication skills and ability to build effective relationships.

Excellent knowledge of Microsoft Word and Excel.

Nice-to-have

Experience within the financial servies industry.

Knowledge of Italian and/or German.

Experience supporting multiple international offices.

Familiarity with expense management systems (e.g. Concur).
