Executive Administrative Assistant II, KGUN

Join KGUN in Tucson, Arizona, as an Executive Assistant, where you'll serve as a trusted partner to a vice president, managing complex administrative operations and high-level projects. This role offers the opportunity to work at the executive level, handling confidential matters and contributing to strategic initiatives that drive our organization forward.

WHAT YOU'LL DO:Prepare complex business presentation documents and spreadsheetsAssist in special projects, perform research and maintaining recordsCompose correspondence, based on the general knowledge of the manager's view, about administrative matters and general office policies for manager's approvalInitiate routine and non-routine correspondence and memorandaAnswer and screen phone calls, providing information for both routine and complex inquiriesSchedule and maintain calendar of appointments, meetings and travel itineraries, coordinate related arrangements, and arrange for meeting roomsAnticipate and prepare materials needed by the manager for conferences, correspondence, appointments, meetings, telephone calls, etcPrepare and distribute minutes to meetingsEstablish and maintain a variety of files and recordsMay be required to take and transcribe dictation and to take shorthandPerform other duties as may be assigned
 WHAT YOU'LL NEED:High school diploma or equivalent requiredSpecialized training/certification may be requiredGenerally, 2+ years of experience in area of responsibility
 WHAT YOU'LL BRING:Proficiency with various software programs including Microsoft Outlook, Word, Excel, and PowerPointAdvanced knowledge of general office practice and business etiquetteAbility to balance multiple priorities and to work under tight deadlines while providing consistent and professional serviceAbility to perform secretarial and clerical duties with speed and accuracy without immediate and constant supervisionAbove average knowledge of business correspondence compositionAccurate and efficient typing skillsPossess advanced interpersonal and communication skills and the ability to maintain good working relationships with all co-workers and outside clientsPossess above average organizational skills including attention to detail and follow throughMaintain complete confidentiality, possess a professional demeanor, and exercise discretion at all timesBe able to work overtime as needed, often with little notice
