Executive Administrative Assistant

As an Executive Assistant supporting the Commercial Investing Global Equities team, you will provide high-level administrative support to senior leaders, ensuring efficient daily operations and upholding the firm’s standards of professionalism and confidentiality. You will provide high-level administrative support to senior leaders within the Global Equities team at JPMorgan. You will manage complex calendars, coordinating meetings and travel, handling confidential communications, and supporting daily team operations. 

 

Job responsibilities:

Maintain complex and detailed calendarsScreen incoming calls and determine the level of priority, while using caution in dispensing informationManage the coordination and logistics of both internal and external meetingsArrange and coordinate complicated domestic and international travelOrganize all aspects of internal and external events, including catering and transportationProcess invoices and T&E expense claims for team members, ensuring all policies are followed and items are processed within provided guidelinesAssist with staff on-boarding and off-boarding, which includes requesting equipment setup and system accessProduce high quality emails and messages to individuals at all levels of the organizationMaintain department documents, including current organizational charts and Executive Bio’sHandle regular activities without prompting, and advise in advance with issues or delaysAssist in editing spreadsheets and presentations, including printing and binding, for client meetings

Strong organizational and multitasking abilitiesExcellent verbal and written communicationProfessionalism and discretionCollaborative and proactive approachAdaptability in a fast-paced environmentProficiency in Microsoft Office Suite

 

Preferred qualifications, capabilities, and skills:

Experience supporting at the Managing Director level (or equivalent) or aboveCollege degree is a plus

 

Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid options.
