As an Administrative Assistant within U.S. Private Bank, you will need to work well in a team environment, represent the manager/group with professional courtesy and acumen, and deliver flawless work output. Your daily routine also includes interaction with various executive level internal clients across the lines of businesses. You will need to adapt to procedures, processes and techniques to complete assignments in line with the department's activities and goals. Job Responsibilities
Maintain complex and detailed calendars for very senior Executives while adhering to client confidentiality rulesHandle heavy call volumes from both external clients and internal colleagues/managementScreen incoming calls and determine the level of priority, while using caution in dispensing informationManage the coordination and logistics of internal and external meetings, offsite conferneces and events, including catering, transportation, and AV requirements.Arrange and coordinate complicated domestic and international travelProcess invoices and T&E expense claims for team members. Ensure all policies are followed and items are processed within provided guidelines. Act as a subject matter experts for policies and proceduresAssist with staff on-boarding and off-boarding, which includes requesting equipment setup and system accessMaintain current organizational charts and Executive Bio’sHandle regular activities and ad hoc projects without prompting, and advise in advance with issues or delaysAssist in editing spreadsheets and presentations, including printing and binding, for client meetingsWork efficiently with the fellow administrative assistants team, in positive partnership to support each other smoothly including sharing tasks for entire team.
Required qualifications, capabilities, and skills
At least five years of administrative experience, ideally supporting at the Managing Director level (or equivalent) or aboveAdvanced ability to organizeTact and good judgment in confidential situations, and proven experience interacting with senior managementStrong interpersonal, written, and oral communication skillsStrong proficiency in Microsoft OfficeStrong ability to multi-task and prioritize Excellent telephone etiquette and ability to manage competing priorities i.e. calendar managementExcellent written and oral communication with both external clients and internal colleagues is a must
