The Event Planning Manager plays a key role in bringing those experiences to life by managing the full planning, detailing, and onsite coordination for a wide range of events and group programs._**
**_This position oversees the planning process for rooms-only blocks, multi-day corporate meetings, social celebrations, rooftop receptions and buyouts in The Nest, and entertainment-related stays. The Event Planning Manager works closely with both Group Sales and Event Sales to ensure every contracted booking is executed seamlessly and reflects the Thompson brand._**
**_This role requires strong communication skills, a high level of organization, and the ability to manage several programs of varying complexity at the same time. Collaboration across Events, Sales, Operations, Culinary, Beverage, Front Office, and The Nest teams is central to success in this position._**
**_Key Responsibilities_**
**_Event Planning and Detailing_**
**_•_** **_Serve as the primary planning contact for assigned groups and events, including meetings, receptions, social events, rooftop buyouts, entertainment stays, and rooms-only blocks._**
**_•_** **_Lead all aspects of event detailing, including menu planning, timelines, floor plans, AV coordination, and vendor communication._**
**_•_** **_Create and distribute accurate BEOs, group resumes, and internal operations communication._**
**_•_** **_Host tastings, planning meetings, hotel tours, and pre-conference meetings as needed._**
**_•_** **_Manage payment schedules, required documentation, and all final planning requirements after contract signature._**
**_•_** **_Support onsite, as needed, during high-impact programs or seasonal peak periods, including summer activity in The Nest._**
**_Client Communication and Service_**
**_•_** **_Build strong, professional relationships with clients throughout the planning process._**
**_•_** **_Provide clear expectations, planning guidance, creative solutions, and consistent follow-through._**
**_•_** **_Advocate for the client while maintaining alignment with hotel policies, operational capabilities, and service standards._**
**_•_** **_Support client satisfaction and drive re-bookings through high-quality service and communication._**
**_Cross-Functional Collaboration_**
**_•_** **_Partner with all departments of the hotel._**
**_•_** **_Participate in or lead pre-convention meetings, daily standups, internal planning discussions, and operational walk-throughs._**
**_•_** **_Work closely with staff to ensure accuracy, timeliness, and operational readiness._**
**_•_** **_Provide feedback and support for process improvements, menu updates, and event service enhancements._**
**_Operational Excellence_**
**_•_** **_Maintain organized and accurate records in Hyatt systems._**
**_•_** **_Ensure timely and accurate posting of charges in collaboration with Accounting._**
**_•_** **_Support hotel event profitability by reviewing F and B minimums, rental needs, and overall program scope._**
**_•_** **_Assist during peak volume periods, especially summer corporate happy hours, weekend social events, and high-demand Nest activations._**
**_Qualifications_**
**_•_** **_A genuine desire to deliver memorable guest experiences in a fast-paced and service-focused environment._**
**_•_** **_Two to three years of experience in hotel event planning, catering or convention services, group coordination, or a related field preferred._**
**_•_** **_Strong verbal and written communication skills._**
**_•_** **_Exceptional organization, attention to detail, and follow-through._**
**_•_** **_Ability to manage multiple programs with varying timelines and complexity._**
**_•_** **_Interest or experience in a variety of event types, including meetings, receptions, social events, and entertainment-related stays._**
**_•_** **_Proficiency in Microsoft Office and the ability to learn Hyatt systems quickly._**
**_•_** **_Ability to work evenings, weekends, and holidays as event needs require._**

· Thompson Seattle colleagues begin accruing Vacation Time on their first day of service. At six months of service, colleagues are vested in the time they have been accruing. Full Time & Part Time Colleagues are eligible for vacation time.
+ Hire Date Through Four Years – 10 Days or 80 hours
+ Five to Nine Years – 15 Days or 120 hours
+ 10 years or greater – 20 Days or 160 hours
+ **_Sick Leave:_**
+ Full time, part time and on-call colleagues accrue and have the right to utilize sick and safe time according to Seattle’s Paid Sick and Safe Time Ordinance. As a Tier Three employer all colleagues accrue one (1) hour of paid sick and safe time for every 30 hours worked starting on their hire date, however, these colleagues cannot use their accrued sick time until they have completed 90-days of employment with Hyatt
+ **Extended Illness Days:** unused sick and safe time in excess of 72 hours converted to Extended Illness Days at the end of each calendar year

+ Full-time colleagues are eligible for holiday pay on their first day of employment. The paid holidays for eligible colleagues recognized by our hotel are: New Year’s Day, Memorial Day, Fourth of July, Labor Day, Thanksgiving Day, Christmas Day, and 2 pre-approved days for Floating Holidays
