Job Title: Project Coordinator

Job Description

We are seeking a dedicated Project Coordinator to join our team in Bristol, providing support to our west coast Regional Sales Managers (RSMs) and their projects. The role involves processing merchandise orders received through various channels including mail, telephone, fax, or email from customers and company employees. This position reports to the Project Manager and is nonexempt.

Responsibilities

Review orders received for price and quantity accuracy.Communicate effectively with Sales Representatives to understand customer expectations.Enter orders into SAP and maintain all project information and documentation for Quotes/Purchase Orders.Calculate costs, sales representative commissions, applicable taxes, and shipping charges.Inform customers of updated costs, shipping dates, anticipated delays, and additional information needed.Ensure all paperwork is accurate and follow up as necessary.Print order documents for the customer service manager's review.Confirm material allocation or ordering and coordinate with the Procurement Manager on material arrival dates.Prepare production documents and insert them into notebooks for the Production Coordinator.Follow up on production orders to ensure timely delivery.Check shipping orders for accuracy in quantity and updated freight costs.Specify any special labeling or packaging required and communicate with production and shipping departments.Prepare customized reports, KPIs, and correspondence; update various databases as required.Record customer complaints and work with the Customer Service Manager to improve customer experiences.Collaborate with production, shipping, and warehouse personnel to expedite or trace shipments.Understand customer processes and support their requirements.Maintain customer contact information in SAP.Follow up with customers on project backlogs based on material requirement dates.Create Sample Requests and ensure timely shipment.Create shipping documents for carriers.Assist customers and direct inquiries appropriately.

Essential Skills

3+ years of experience in administration or coordination.Proficiency in data entry and accuracy in Excel.Strong communication skills.Experience in construction administration, document control, and customer service.Proficiency in SAP ERP and Salesforce.com.Ability to maintain focus and accuracy despite interruptions.Strong organizational skills.Ability to command processes and set priorities during production meetings.

Additional Skills & Qualifications

High level of interpersonal skills.Flexibility and teamwork capacity.Oral and written communication proficiency.Ability to lift files, open filing cabinets, and use a stool if necessary.High school diploma or GED, or equivalent experience.Proficiency in Microsoft Office applications and Outlook.

Work Environment

The work environment is modern and recently renovated with sleek and contemporary designs. Large L-shaped desks provide a spacious work area within a team of four. The position requires comfort in navigating the manufacturing warehouse, which is attached to the building, including wearing safety glasses when necessary. The atmosphere is positive with no drama, and the company values strong tenure. They have locations in Florida and California.

Pay and Benefits

The pay range for this position is $20.00 - $38.00/hr.
