Job Description:

Parsons is anticipating the need for a Document Controller Manager to join our team and support on a complex infrastructure project on-site in Dublin. In this role, you will lead and optimize the document management strategy and systems, ensuring controlled, compliant, and efficient information flow across all projects and stakeholders.

What You'll Be Doing:

Lead the design, development, and implementation of document management systems to ensure efficient organisation, access, and retrieval of information.

Establish and enforce version control standards to ensure the use of current documents while maintaining complete historical records.

Supervise day-to-day document management activities, including revisions, to ensure accuracy and consistency across all document versions.

Develop and implement strategies for the effective distribution of documents to both internal and external stakeholders.

Ensure all documentation complies with organisational policies, industry standards, and applicable regulatory requirements.

Define and enforce access control protocols to protect confidential and sensitive information.

Strengthen communication with team members, stakeholders, and vendors to streamline document exchange processes.

Coordinate document review and approval workflows to support timely updates and releases.

Maintain comprehensive records of document history, including revisions, approvals, and distribution logs.

Prepare and present reports on document status, activities, and compliance.

Identify opportunities to improve document management processes, systems, and controls.

Plan, prioritise, and manage workloads to meet deadlines and maintain efficient document flow.

Provide leadership, coaching, and guidance to document control staff.

Carry out other related duties as assigned.

What Required Skills You'll Bring:

10+ years of experience in document management, including at least 5+ years managing project document control on major infrastructure or construction projects.

Strong experience in document control related to compliance, quality management, and policy implementation.

Extensive experience working with document management systems and document databases.

Knowledge of quality management systems and process improvement practices within the construction or infrastructure sector.

What Desired Skills You'll Bring:

Proficiency in Microsoft Office, SharePoint, and specialist document control systems.

Understanding of project management principles and practices.

Knowledge of industry standards, regulations, and legal requirements related to document handling.

Understanding of data protection and information security principles.

Ability to adapt to changing project and programme requirements.

Excellent written and verbal communication skills.

Strong ability to govern and drive outcomes to deliver high-quality service.

Minimum Level 8 degree (or equivalent) in Project Management, Business Administration, or a related discipline.

PMP and/or Certified Document Controller (CDC) certification.

Note: This position is contingent upon project award and future funding. This exciting new opportunity is planned to commence in Spring 2026.
