Touro College of Dental Medicine is now hiring a full time Dispensary and Inventory/Supply Coordinator. The basic function for the role is to plan and monitor the ordering, receiving and storing of dental/medical supplies, and to support SimLab and Clinical operations. The Dispensary and Inventory/Supply Coordinator assists students and/or faculty during dental procedures in the Simulation Lab (SimLab) and clinic environments. He/she assists the students to prepare for dental procedures by setting up instruments, equipment and materials, and ensures that instruments are arranged properly and in accordance with sterile technique(s). The Coordinator will also provide regular additional support for the Inventory and Supply functions at the Dental School. This position requires OSHA training and is subject to exposure to blood and other bodily fluids, as well as, enforcing HIPAA regulations specifically when accessing Protected Health Information (PHI).
Responsibilities Core Dispensary Responsibilities Include:Monitors planning/organization of physical inventories in SimLab and clinicsActs as a liaison to other departments (Clinics/SimLab/Inventory Room)Assists students and/or faculty during dental procedures in the SimLab and clinicsPrepares for dental procedures by setting up instruments, equipment and materials, and maintains a clean working area prior to, during and post procedures for both SimLab and ClinicsCoordinates dental materials Inventory with the dispensary on an as needed basisObtains and replenishes supplies, filing and setting up operatory/ stations for all necessary proceduresAssists in regulatory compliance and keep abreast of new developments, techniques and materials as they come about, and insure adherence to proper infection control protocolProvide clinical support when necessary, cross train with Dental AssistantsKeeps the sim lab neat, organized and visually presentableProactively informs providers and/or management of any issues with equipment, instruments or suppliesProvides additional job-related support as may be needed in the SimLab or Clinics as requested or assigned by leadershipCore Inventory/Supply Responsibilities include:Submits request for materials, prepare purchase orders, track purchases and suppliesSchedules incoming and outgoing shipments both intercompany and external suppliersWorks with operations team to review inventory strategies for maximum efficiencies in SimLabManage damage and returned productMonitor Inventory expiration dates for obsolesce avoidance and provide corrective actionManage distressed inventory and short dated productMonitor completeness, accuracy, and compliance during inventory transactionsOversee purchase orders request, data entry, and shipping and receiving of materialsTrack, audit, and ensure adequate supply of inventory throughout the organizationCommunicates with team about current stock and potential issues with orders;Conducts daily analyses to forecast potential inventory issues;Reports on inventory activities and variances and supports cycle counts;Helps to keep the Central Supply office as organized and neat as possibleHandles other miscellaneous job-related tasks and duties as requested or assigned by leadership Qualifications Education/ExperienceHigh School Diploma/GED Eqvlnt in General Studies required.2 years of experience in inventory control2 years of experience using Microsoft Office Suite (Word, Excel, & Outlook)2 years of experience using SAP, Axium and/or a similar systemKnowledge/Skills/AbilitiesDemonstrated proficiency in communication (written and verbal) requiredProficiency in Microsoft Office Suite including Word, Excel, Power Point, & Outlook requiredOverall business acumen, ethical decision making and relationship management skills requiredTeamwork & Adaptability to multitask and work with changing prioritiesActs as a Professional Role ModelAttention to Detail Sound Problem-Solving, Judgment and Decision-Making SkillsStress Tolerance in a challenging environmentAbility to work independentlyAbility to comprehend and follow work instructions and calibrate instrumentationPhysical Demands
