**Department:** HR & Administration – Learning and Development
**Reports To:** COEi Operations Team
**Rate** : $27.50/hr on W2
**Job Description**
The Data Coordinator/Specialist will provide critical support to the HR and Training teams by managing logistics, communication, data analytics, and administrative tasks related to training and development across North America. This role demands strong organizational and communication skills, with the ability to balance multiple tasks while delivering high-quality results in a fast-paced environment.
**Key Responsibilities**
**Training Logistics Management**
+ Manage all logistical aspects of training programs (on-site and off-site), including:
+ Participant coordination
+ Materials preparation
+ Room bookings
+ Catering with dietary accommodations
+ Vendor registration
**Communication and Scheduling**
+ Send training invitations and maintain calendar updates using Airtable and Excel
+ Coordinate room setup with Facilities
+ Maintain Teams channels and take meeting notes for Training/HR meetings and NOE connects
**Reporting and Feedback**
+ Compile and distribute post-training feedback reports to facilitators
**Stakeholder Management**
+ Act as a business partner to Network of Excellence (NOE) stakeholders and Learning Site Leads
+ Provide operational support to the COEi Operations Team
**Event Coordination**
+ Coordinate logistics for transportation and networking events
+ Oversee training setup and breakdown
+ Order branded materials, swag, and E&O supplies
**Learning Management System (LMS) Administration**
+ Manage LMS tasks including:
+ Session creation
+ Awarding credits
+ Managing rosters and no-shows
+ Generating reports (Learning History, User IDs, etc.)
**Content Creation and Engagement**
+ Develop objective slide decks and engaging ice breaker activities
**Marketing & Communications**
+ Lead communication efforts for North America Operations training
+ Promote training initiatives via email and announcements
+ Maintain the Learning Operations website
+ Write monthly articles for LOreal Anywhere
+ Support HR campaigns (e.g., Career Week, Skills Campaign)
+ Experience with **Canva** and **Adobe Campaign Standard** preferred
**Data Analytics**
+ Provide accurate reporting for:
+ Operations learning hours
+ Compliance training tracking
+ Collaborate with BEST (Business Expertise Services and Technology) team
+ Manage data collection and employee training histories
+ Generate monthly learning hours reports using Excel and PowerPoint **Financial Support**
+ Manage expense reporting and compile receipts
+ Submit chargeback data to Finance including participant cost centers
+ Create purchase orders and confirm goods receipts in MyMarket **Qualifications**
+ Bachelor’s Degree required
+ Experience in Learning/HR preferred
+ Background in Communications, Marketing, or Data Analytics is a plus
+ Strong proficiency in Microsoft Suite (Excel, PowerPoint, Outlook, etc.)
+ Highly organized with attention to detail and ability to multitask
+ Strong analytical, creative, and communication skills
+ Must have own transportation
+ Must be able to lift up to 25 pounds and stand for extended periods
