**Purpose of Job**
The primary purpose of CMMS Specialist is to deliver the requested CMMS functionality and
reporting as specified and requested by CBRE & the Client, focusing on optimizing facility
operations, maintenance, and asset management through the effective use of the platform.
This resource will be reported directly to the Program Manager and will have regular coordination
requirements with identified client FTE to ensure continuity of business across the contract.
**Responsibilities include:**
• Basic training for system use to onsite staff, new hire training, and any continuing training
for all staff on site.
• Tier 1 CMMS support for the site
• Initial Point of Contact for sites assigned for all CMMS topics
• Initial Issue triage, Low Level Bug/issue identification end escalation as
necessary
• Research to identify local solutions
• Coordinate with Clients CMMS Support team for escalation as required
• Full testing of the system after deployments/patching
• Collection of field level feedback to drive iterative improvement in the tooling
• Coordinate with system support team to help develop and communicate, all changes in
CMMS Process, Procedure, or system configurations to educate the users base as to
current operational requirements
• Coordinate with Site Leads and or other designated CBRE & Client Team members
to ensure that local paperwork has been completed and recorded as per Operational
requirements and tied correctly to the corresponding Work Orders
• Ensure all CMMS data is accurate and kept up to date at all times
• Provide assistance/guidance to the site team in making changes to PM schedule on the
CMMS, including identified by the local team & approved by CBRE management
• Maintain CMMS user records at each site serviced to ensure that new users are added in
a timely fashion and that users who are no longer at the facility are deactivated to
maintain an accurate roster.
• Coordinate with the Facilities Team to maintain the list of site assets and locations within
the DC and coordinate with the Facilities team to ensure that they audit these records as
per the CMMS Standards and Governance requirements.
• Verification that each Work Order has:
• A related referenced MOP/SOP/EOP where appropriate.
• That those procedures match the work indicated on the Work Order
• That any service reports or follow documentation is attached in the Work Order
• Auditing of Work Order records and other attached or otherwise related documentation
as per Standards and Governance requirements to ensure that all hours, notes, and other
commentary are recorded in the correct places and with valid amounts. Escalate required
updates or changes back to the Facilities team for resolution.
• Basic report creation based on requirements defined by the local resources and
approved by the Program Manager
• Support daily activities to resolve open remediation work items, control activities and
collaborating with cross-team stakeholders and audit staff to ensure audit readiness.
• Provide input into the development or improvement of site-specific procedures including
EOPs, SOPs, Apps and EOP & Drills relating to the CMMS system or systems linking to the
CMMS.
• Adherence to all site specific and quality, health & safety, and environmental policies within
the CE domain
Initially Out of Scope but may transition to In Scope after review of tasking and workloads to
ensure that scope creep does not prevent the CMMS SMEs from performing their assigned
duties.
• Scheduling of work activities to Facilities technicians
• Sub-contracting Vendor coordination.
• Review of Subcontractor paperwork including Field Service Reports and other related
documentation.
**Accountabilities**
• Reporting directly to the Program Manager for day-to-day operational workload and tasks
• Accountability to the CBRE management as appropriate for CBRE related management
and approvals (Employment T&C’s, annual leave, annual appraisal, training approval etc.)
• Maintains close working relationships with key client representatives.
Qualifications and Experience:
• Excellent understanding and operational knowledge of Computerized Maintenance
Management Systems (CMMS)
• The ability to learn quickly and to gain maximum benefit from extensive training and
development programs aimed at ensuring that any identified knowledge or experience
deficiencies are addressed in the short term.
• Previous work directly in the Critical Environments field is strongly desired.
• Strong familiarity with the Microsoft Office Suite (Outlook, Word, Excel, etc.).
o Advanced Excel skills are highly desired.
• Able to work efficiently in a fast-paced, high through-put work environment.
• Excellent Customer Service skills.
• Accountability and ownership for assigned tasks.
• Strong work ethic, with the ability to work alone, as well as in a team environment.
• Strong attention to detail while still able to complete work within set timelines.
• Strong desire to learn and excel as an individual and team member.
• Polished and professional communication via phone, email and IM.
• Ability to work collaboratively and effectively in a remote environment and stay on task
without direct supervision.
• Ability to read, understand and summarize contractual terms and conditions, statements
of work, quotes, purchase orders, deal summaries

business critical environments
• Self-motivated, with ability to work on own initiative
