The Customer Service & Order Management Specialist plays a key role in supporting customers, clinicians, and internal teams by ensuring accurate order processing and exceptional service delivery. This position is responsible for managing inquiries, coordinating product orders, and maintaining clear documentation within internal systems while upholding a high standard of professionalism and attention to detail.
Primary ResponsibilitiesRespond to customer questions and concerns via phone and email, providing clear, timely, and accurate information.Process customer orders with precision, following internal workflows and product specifications.Collaborate with internal staff, contracted physicians, and nursing professionals to verify product requirements and ensure correct items are ordered.Monitor inventory levels and proactively communicate low-stock items to Purchasing and Planning teams to prevent fulfillment delays.Coordinate and communicate with internal and external vendors, suppliers, and customers to support seamless order and service operations.Document all customer interactions within the internal CRM system, ensuring accurate, complete, and organized records.Manage a moderate call volume, with some calls extending 30+ minutes, while handling a significant volume of email correspondence.Required Skills & CompetenciesExperience with ERP systems and order management workflowsStrong customer service and communication skillsBackground in manufacturing, pharmaceutical, medical device, or nutraceutical industries preferredKnowledge of inventory control and product fulfillment processesSolid administrative and organizational skillsProficiency in Microsoft Office SuiteExperience using CRM software for documentation and communication trackingUnderstanding of purchase orders and product order formsQualifications1–2+ years of experience in a customer service, order entry, or administrative support roleIndustry experience in pharma, nutraceuticals, manufacturing, or medical devices is highly preferredComfortable communicating with both general consumers and business customersDemonstrated ability to manage detailed tasks, multitask effectively, and maintain accuracy in a fast-paced environmentJob Type & LocationThis is a Contract to Hire position based out of Irvine, CA.
Pay and BenefitsThe pay range for this position is $25.00 - $27.00/hr.
