Join our dynamic sales team as a Corporate Account Administrative Assistant in the Dallas/Fort Worth area. Within our industry-leading Specialty division, this role is pivotal in supporting corporate account managers by managing and prioritizing their requests, ensuring that all necessary reporting, correspondence, and requests are completed promptly and professionally. This position plays a critical role in resolving issues and concerns for large, multi-unit corporate account customers.
Responsibilities
+ Maintain key relationships with customers and internal departments to build knowledge and understanding of customer needs and expectations.
+ Process and schedule new opening orders, mass product orders, and recurring monthly/annual billings for digital products.
+ Create, update, and maintain pricing contracts using our Contract Management System.
+ Maintain third-party customer catalog portals, ensuring pricing updates when Finance communicates changes.
+ Communicate with executive-level customers on behalf of the corporate account manager as needed.
+ Assist internal departments with research into customer issues, such as invoice discrepancies, work order analysis, and reporting.
+ Follow up on and resolve customer questions, including product, credit, pricing, and distribution and service concerns.
+ Process legal contracts via AdobeSign by obtaining and reviewing financial data, ensuring details match the contract, and requesting signatures.
+ File executed contracts appropriately and in a timely manner.
+ Establish accurate customer master data, including contract alignment, discounts, special delivery instructions, billing preferences, contact information, change of ownership, new account requests, ordering exceptions, and status.
+ Make change requests through the appropriate avenues.
+ Utilize our SaaS website to enter customer information and create required records for order placement of our digital projects.
+ Run monthly reports on a rotating basis.
+ Provide backup support to other members of the administrative team in the region as requested by the direct supervisor.
+ Complete ad hoc reports and projects as requested by the direct supervisor.
Essential Skills
+ Advanced knowledge of Microsoft Excel, including pivot tables and VLOOKUP.
+ Proficiency in SAP and the Microsoft Office Suite (Word, PowerPoint, Outlook).
+ High school diploma or GED required; bachelor's degree preferred.
+ 2-4 years of relevant experience required; 3 years of sales support and 2 years of project coordination preferred.

Work Environment
The work environment is hybrid, with 3 days in the office and 2 days working remotely. The schedule is Monday to Friday, from 8:30 AM to 5 PM, with a 30-minute lunch break. High interaction level with management and team members is expected, as the role involves coordinating with various divisions and departments, managing workloads, and collaborating with three other team members doing similar work.
Pay and Benefits
The pay range for this position is $25.00 - $32.00/hr.
