**Purpose of the role**
To support the Site Operations team primarily with a view for assisting in the wider business as required, to deliver an exceptional service to our client. This will consist of the day to day managing of the Datacentre’s procurement, procedures, and processes.
**Main Duties and Responsibilities:**
**Contract:**
+ Raise various types of Purchase Orders for vendors for goods/services – sometimes containing high levels of details and specific instructions.
+ Issue quotations to client for any extra works jobs using the correct mark up, follow up for PO and invoicing once works are complete.
+ Process vendor invoices for payment, ensuring invoices coincide with purchase order raised and conform to CBRE’s invoice requirements.
+ Follow up with accounts payable for any invoices not registered on system.
+ Reconciliation of statements and follow up with suppliers for any outstanding invoices to ensure accounts are kept up to date.
+ Assist the Contract Manager in compiling information for the Internal Contract Review including financial reporting, hazard reporting, toolbox talks, etc
+ Assist the Contract Manager in compiling information for the Client Quarterly Business Review
+ Ensuring MySupplier (vendor management system) is updated as required
+ Monthly Billing to client and forecasting ahead for Finance ➢ Run financial reports including Goods Receipting, WIP, Open PO report, Debt reports and proactively following up on aged items.
+ Responding to any ad hoc financial requests from both the Contract Manager and the Finance Manager People: ➢ Process staff expenses and timesheets, working to strict cut-off dates and deadlines
+ Arrange site access, email account, system access and permanent admission for all new starters. ➢ Assist in organising training for team onsite Quality:
+ Logbook Compliance
+ QHSE Reporting – audits
+ Contract Review Pack in conjunction with Contract Manager
Other:
+ Ability to build strong relationships with existing team members, the customer, vendor and wider CBRE staff.
+ Perform with an understanding of business requirements and changes and ensuring continuous improvement.
+ Actively participate in a diverse and effective team. Qualifications and Experience
+ Good communication skills both written and verbal along with detail-oriented attitude. ➢ Excellent ability to work across functions & with diverse management teams.
+ Strong understanding of Critical Environment works and the logistical requirements to support that work. Previous experience working in a client facing role would be desirable.
+ Strong familiarity with the Microsoft Office Suite (Outlook, Word, Excel, etc.).
+ Ability to read, understand and summarize contractual terms and conditions, statements of work, quotes, purchase orders, deal summaries.
+ Strong work ethic and self-motivated, with ability to work on own initiative.
+ Strong attention to detail while still able to complete work within set timelines. Aptitudes Excellent verbal, written and interpersonal communication skills, with the ability to communicate intelligently and effectively with stakeholders at all levels. Numerate and computer literate. Intermediate to advanced software skills – MS Office (Excel, PowerPoint, Word, Project) Teams, Zoom. Comfortable in communicating ideas to all levels of management in a clear, concise, and professional manner across variety of business, financial, and technical ranges.
