Contract - Facilities Coordinator

If you're passionate about meaningful work and want to be part of something bigger than yourself, Caris is where your impact begins.** **Facilities Coordinator** **Position Summary** The Facilities Coordinator provides administrative and operational support for facilities-related projects, processes, and procurement activities. This role is responsible for maintaining accurate project documentation, supporting process management and continuous improvement efforts, and coordinating financial and procurement documentation to ensure compliance, transparency, and timely execution. The position works closely with Facilities Managers, Project Managers, Finance, and Procurement teams **Job Responsibilities** **Project Management Documentation Support** + Maintain and organize project documentation including project charters, schedules, scopes of work, meeting minutes, action logs, and closeout documentation. + Support project managers by tracking milestones, deliverables, risks, and action items. + Coordinate document control standards for facilities projects to ensure accuracy, version control, and accessibility. + Assist with preparation of executive summaries, project status reports, and dashboards. + Support audit readiness by ensuring complete and accurate project records. **Process Management & Documentation** + Document facilities processes, workflows, and standard operating procedures (SOPs). + Support process improvement initiatives by gathering data, tracking metrics, and maintaining process documentation. + Maintain centralized repositories. + Assist with change management documentation related to updated processes or systems. + Ensure processes align with internal controls, compliance standards, and best practices. **Financial Management & Procurement Support** + Support procurement processes by preparing and tracking requisitions, purchase orders, contracts, and change orders. + Generate and support proposals for contractors and vendors. + Maintain financial documentation related to facilities projects, including budgets, cost trackers, invoices, and approvals. + Coordinate invoice review and approval workflows with Facilities, Finance, and Procurement. + Track project expenditures against approved budgets and report variances. + Assist with vendor onboarding documentation and contract compliance tracking. **Coordination & Stakeholder Support** + Serve as a point of contact for documentation, reporting, and administrative coordination within the Facilities team. + Schedule and coordinate project meetings, vendor meetings, and internal reviews. + Communicate status updates and documentation requirements to internal stakeholders and external vendors. + Support cross-functional collaboration with Finance, Procurement, Legal, and Operations teams. **Required Qualifications** + High School diploma or GED + 5-7 years of experience in a facilities administrative support role. + Experience supporting project documentation and procurement or financial processes. + Strong proficiency in Microsoft 365 tools (Word, Excel, PowerPoint, SharePoint, Teams). + Excellent organizational skills with strong attention to detail. + Document control and organization + Process documentation and improvement + Financial tracking and procurement support + Communication and stakeholder coordination + Time management and prioritization + Attention to detail and accuracy **Preferred Qualifications** + Experience supporting facilities or capital projects. + Familiarity with purchase order systems, contract management tools, or ERP systems. + Experience documenting processes or supporting operational excellence initiatives. + Knowledge of basic project management principles. **Physical Demands** + Must possess ability to sit, stand, and/or work at a computer for long periods of time. + May have exposure to blood-borne pathogens, extreme temperatures, high noise levels, fumes and bio-hazardous material/chemical including formalin in the lab environment. + Must possess ability to perform repetitive motion. + Ability to lift up to 30 pounds. **Training** + All job specific, safety, and compliance training are assigned based on the job functions associated with this employee. **Other** + This position requires periodic travel and some evenings, weekends and/or holidays. + Job may require after-hours response to emergency issues. + Periodically scheduled on-call may require after-hours response for technical emergencies not explicitly related to assigned job responsibilities. + At times may be required to work weekends/holidays. + This role is a 6 month contract based position. **Conditions of Employment:** Individual must successfully complete pre-employment process, which includes criminal background check, drug screening, credit check ( applicable for certain positions) and reference verification.
