Contract Conformance Specialist IV
Role Overview
The Contract Conformance Specialist IV (CCS) is responsible for the day-to-day sourcing, contract administration, and conformance activities for assigned capital projects. This role ensures contractual obligations are met throughout the full contract lifecycle and supports the timely identification and resolution of contractual matters on large, complex projects.
The CCS works closely with internal stakeholders and external contractors and plays a key role in contract formation, execution, change management, and close-out.
Key Accountabilities
Manage all stages of contract administration for assigned capital projects
Oversee documentation flow and contractual communications between the Company and Contractors
Facilitate timely identification, communication, and resolution of contractual issues
Ensure contractor compliance with contractual requirements and project baselines
Support contract negotiations, change management, invoicing, and contract close-out activities
Provide regular contractual status updates to project leadership and management
Project Scope & Dimensions
Assigned major projects with a consolidated value of up to $500M annually
Individual project durations typically up to 3 years
Duties & Responsibilities
Ensure compliance with Project Execution and contracting strategies
Prepare and coordinate contract exhibits including scope, specifications, pricing, and special instructions
Draft and review technical contract language in collaboration with project teams
Lead or support contract negotiations during bidding and contract formation
Coordinate project-specific communication plans related to contracts
Participate in and support contract conformance training for internal and third-party personnel
Review contractor submissions for contractual compliance and issue non-conformance notifications as required
Maintain contractor correspondence and documentation logs
Manage the change order process, including change directives, evaluations, approvals, and tracking
Prepare agendas, attend contract-related meetings, and document/distribute meeting minutes
Establish and manage contract document control and retention in accordance with company procedures
Review contractor invoices for contractual compliance and track through payment
Support resolution of contractual issues and claims in collaboration with legal and project leadership
Track and manage Work Releases (WR) for external service providers
Coordinate contract close-out and ensure full compliance with contractual requirements
Prepare for and support internal and external compliance audits
Provide weekly and monthly contractual status reporting to management
Required Qualifications
Bachelor’s degree in Engineering, Construction, Legal, Technical, or Business discipline with relevant experience in contract administration or conformance
OR
Associate’s degree with 10+ years of experience in contract administration or conformance on construction projects
Experience supporting large, complex ($100M+) engineering and construction contracts
Knowledge of contracting processes within the energy or pipeline industry
Strong understanding of contract documents and their purpose and application
Experience supporting or leading negotiation of complex contractual issues
Skills & Competencies
