We are seeking a Construction Coordinator for our Phoenix office, a key role in supporting project management and operational activities for construction and on-site operations. This position ensures the smooth execution of projects by managing documentation, coordinating with internal teams and external partners, and maintaining compliance with standards.
ResponsibilitiesProcess contract documents, purchase orders, vendor invoices, and job setup.Create, organize, and maintain project files, contracts, drawings, and correspondence.Establish and close out jobs in Salesforce; create shared drive folders with pertinent information.Maintain weekly payroll entry and reconcile invoices and expense reports.Manage monthly job close-out and retention lists.Set up new hires in accounting and payroll systems, including E-Verify and drug screening.Manage BOMs and materials ordering; address distributor concerns.Coordinate with outside suppliers to ensure timely delivery of materials meeting quality standards and budget requirements.Manage new vendor setups and job packets.Communicate effectively with general contractors, subcontractors, vendors, construction managers, sales teams, and corporate office.Assist project managers in establishing schedules, managing documentation requirements, submittals, safety protocols, and site logistics.Respond to internal employee and customer inquiries promptly.Coordinate new hire paperwork and confirm all required information is complete.Work with internal project teams to ensure a streamlined onboarding process.Assist with team organization, meeting minutes, and project documentation.Support personnel coordination through regular interaction with the PM team.Essential Skills2+ years of experience in project coordination, administrative support, or construction operations.Proficiency in Salesforce, Microsoft Office Suite (Excel, Word, Outlook), and shared drive management.Familiarity with accounting/payroll systems.Strong organizational and time-management skills with attention to detail.Excellent verbal and written communication skills.Ability to manage multiple priorities in a fast-paced environment.Problem-solving mindset and proactive approach to challenges.Knowledge of construction documentation, job setup processes, and vendor coordination.Ability to work collaboratively with cross-functional teams and external partners.Additional Skills & QualificationsAssociate’s or Bachelor's Degree preferred.Work EnvironmentThis position is based in our Phoenix office with a standard work week of 40 hours from Monday to Friday. Start and end times are to be determined.
Job Type & LocationThis is a Contract to Hire position based out of Phoenix, AZ.
Pay and BenefitsThe pay range for this position is $26.44 - $29.33/hr.
