CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting for a **Compliance Coordinator**
**Responsibilities and daily activities:**
· To monitor, maintain and update Statutory and Non-Statutory Compliance records and documentation.
· To ensure service delivery documentation (planned and reactive) is received in a timely manner and uploaded and / or stored on the appropriate medium (Sharepoint, Shared drive / logbooks, compliance tracker, Service Insight etc) & / or in the required areas
· Supporting the Operational teams in the delivery of planned maintenance tasks by ensuring due and overdue PPMs are scheduled / assigned appropriately.
· Oversee and maintain security vetting details for the operational teams & our 3 rd party suppliers to ensure all contractual Security & Access requirements are adhered to
· Prepares Compliance audit data by compiling and analysing internal and external information
· Ensures all required compliance documentation is saved / uploaded as required, including service reports from mobile engineers and vendors
· Carry out regular mini audits on compliance documentation to ensure all service reports are received in good time and report on over due / imminently due PPMs / Reactives
· Review engineer training records & ensure Training Matrix is always up to date
· Review engineer tasks to ensure all risk management activities have been completed ie DRA’s Toolbox talks, LFE notifications, van, ladder and PPE checks etc
· Supports contract by collecting and coordinating internal compliance data with Service Insight
· Monitors planned and due dates to ensure statutory compliance levels are maintained at all times, with any breaches identified to the relevant Contract Manager, Operations Manager, Account Director
· Provides administrative support by implementing systems, procedures, and policies; completing projects in support of Contract.
· Ensure documents follow a pre-determined process to ensure remedial works and recommendations are identified and communicated to the regional Contract Managers and the client for consideration.
· Complies with local legal requirements by understanding existing and new legislation; enforcing adherence to requirements; with assistance and guidance from the Contract Managers.
· Updates job knowledge by completing relevant training courses.
· Ensure all required documentation is obtained from Vendors – ie RAMS, COSHH, Competence, ATWs, Attestation letters / Background checks etc.
· Monitor and control monthly Statutory & Non Statutory Maintenance Schedule in line with Service Insight in line with contractual KPI / SLA requirements
· Assisting the Contract Managers with the co-ordination of key external statutory compliance courses.
· Updating PPM Assets/Frequencies/Plan.
· Achieve results within quality and time restraints.
· Perform with an understanding of business requirements and changes and ensuring continuous improvement.
· Actively participate in a diverse and effective team.
· Assisting with the Help Desk if required, dependent on holidays, sickness, and when call volumes or others factors dictate.
