Job Title: Collections/AR Specialist

Job Description

We are seeking a detail-oriented and dependable Collections/AR Specialist to join our team. This role is responsible for managing customer invoicing, accounts receivable, and billing accuracy across multiple projects. The ideal candidate will have prior experience in a construction or skilled trade environment and a strong understanding of project-based billing, including progress billing, change orders, certified payroll, and union-related requirements. This position plays a critical role in maintaining accurate financial records, ensuring timely billing and collections, and supporting project and operations teams.

Responsibilities

Prepare, review, and issue project-based invoices, including progress billing, milestone billing, and change ordersManage accounts receivable and heavy collections efforts, including proactive outreach via phone and email, posting payments, tracking balances, and consistent follow-upBuild and maintain strong relationships with customers, AP contacts, and project stakeholders to improve payment timelinesReconcile customer accounts and resolve billing discrepancies in a timely mannerCoordinate with Project Managers, Operations, and Accounting to ensure billing aligns with contract terms and job progressMaintain accurate billing records within the company’s accounting/ERP systemAssist with certified payroll documentation and reporting, as requiredSupport compliance with union requirements, prevailing wage documentation, and job cost trackingGenerate AR aging, billing, and collection reports for managementEnsure proper documentation is maintained for audits and internal reviewsAssist with month-end close activities related to billing and receivables

Essential Skills

2+ years of accounts receivable experience in a construction or general contracting/skilled trades industry.Experience managing collectionsProficiency in project-based billing, AIA, milestone billing, and contracts.Experience with pivot tables or vlookups/index match.Knowledge of Sage ERP.

Additional Skills & Qualifications

Sage ERP is a plus and their add-on for Billing is Connectwise.Certified Payroll Reporting/prevailing wage experience.

Pay and Benefits

The pay range for this position is $60000.00 - $70000.00/yr.
